About the Role:

This is a blended role of Business Analyst and Project Management capabilities for the delivery of assigned projects for the Transformation programme. They will be self-motivating and able to manage a project from inception to delivery and all of the components needed to ensure the project is well-managed through its lifecycle, e.g. business requirements identification and management, plan development, cost identification and management, RAID identification and management, and further outputs as detailed below.

The person should have demonstrable experience of analysing business processes to identify waste and working with operational and technology colleagues to undertake redesign activity.

The person should also have a strong working knowledge of PMO practices and engagement and of governance models and ensuring good Project management processes and practices are well documented and followed.

The Person

We are seeking a keen and ambitious person who wants to join a well-established team delivering an exciting transformation programme. The person should already have a good experience and background of leading projects independently, technology and business project methodologies, how to structure projects in a business environment and good business requirement management practices. They should also possess experience and knowledge of PMO practices and how PMO’s are used to deliver the management and control services for project portfolios.

They should be experienced in challenging the status quo within an organisation in a collegiate and co-operative way and helping colleagues to re-evaluate their processes and ways of working in order to gain efficiencies.

Excellent customer-facing and interpersonal skills are extremely important, experience of workshop facilitation is essential, as is the ability to be a fast learner and to undertake and learn a wide variety of tasks. The person should also be professional in their approach and adhere to robust organisational processes and must be detail and quality-oriented in their approach.

Main Responsibilities:

Delivery Planning:

· Prepare and produce a set of comprehensive project documents, including but not limited to: Project Plans, RAID logs, requirements matrices, resource maps, stakeholder maps, solution artefacts, business cases and other core project discipline documents.

· Ensure a sustainable product delivery pace is maintained and is focussed on achieving tested, high-quality outcomes for ‘customer’s and Health Shield colleagues.

· Monitor and manage progress on achieving defined outcomes and collaboratively adjust plans where necessary.

· Communicate delivery status effectively to the team, stakeholders and assurance bodies - adapting communication appropriately to the audience.

· Work to optimise and achieve successful delivery.

· Ensure that plans and resourcing and other key project outputs are in place and that forecasts are regularly and accurately produced.

· Identify and ensure prompt resolution of project blockers. Act as the owner of these blockers, taking responsibility for them, even when resolution may sit with others at any level in Health Shield.

· Equally ensure Risks and Issues are identified, surfaced to the appropriate people and bodies and mitigations identified and managed.

· Implement project controls that allow scope, time, resource, risks and issues to be effectively communicated and managed.

· Provide analysis, information and reports for peers, managers and stakeholders that allow plans, risks and issues to be escalated and addressed effectively.

· Ownership of business requirements analysis and documentation and ensuring it is of a fit-for-purpose standard for consumption in project activities and governance.

Business Analysis:

· Conduct analysis of “as is” processes, identifying waste and pain-points and make proposals for elimination.

· Facilitate the re-design of processes and engaging with large teams across all areas of the business.

· Document “to be” design in the form of business rules documentation, process maps and customer journeys, to aid the creation of user stories, test scripts and process adoption within operational teams.

· Champion the needs of the customer to ensure delivery of an optimal customer experience.

Team Performance:

· Be an active participant in effective, collaborative and dynamic team planning activities. Assist team members in prioritising the work that needs to be performed against the capacity capabilities of the team.

· Help to facilitate agile ceremonies, planning workshops and lessons learned that improve team performance.

Working Relationships:

· Work with Product Owners and Workstream Leads (in collaboration with others) to define the road map for products and services and assist the team to translate that into an achievable, prioritised work backlog.

· Help Product Owners to set priorities for the team and draw contributions from team members to ensure there is a clear understanding of what is achievable, and that responsibilities and outputs are clearly defined.

· Both develop and contribute to business cases as required at various stages throughout the Project lifecycle (supporting peers and Managers).

Third-Party Management:

· Assist peers and Managers in managing Suppliers to optimise value for delivery, ‘customers’ and Health Shield colleagues.

· Ensure external teams that have dependencies on the delivery of the project are properly engaged and aware of delivery dependencies.

· Assist peers and managers in ensuring the effective delivery of external dependencies on behalf of the team to satisfy delivery goals and outcomes.

· Lead in ensuring external assurance groups are appropriately engaged for their projects and that formal approvals are managed so that they do not represent significant risk to meeting outcomes and delivery goals.

Continuous Improvement

· Contribute to ensuring the team has the right working environment and tools needed to deliver projects effectively.

· Actively participate in the Project Manager community and assist in developing its capabilities and contribute to knowledge-sharing.

· Identify better ways of working, and better ways of using tools, reducing management tasks and ensuring continued focus on delivery and circulate these to the team for discussion and adoption.

Principal PMO Accountabilities

· Input into the change delivery process and owning guidance of their projects through the change process and compliance with the change process and governance methodology.

· Quality control and assurance of projects and artefacts ensuring they meet required standards.

· Understanding of impact analysis and ensuring it is fit-for-purpose for allocation against project activities and change reviews.

· Ability to effectively and thoroughly track and manage project and deliverable progress against plan, and to manage outflowing risks and issues as part of that tracking and reporting.

· Produce professional PMO and project reporting in line with the audience it is intended for and delivering clarity for the decisions that need to be taken.

· Able to create business cases and provide clear value details for stakeholders.

· Able to assess project activities and provide detailed estimates on time, cost and resourcing.

· Understands quality and assurance standards and their managing workload to achieve them.

· Outstanding communication skills.

· Experience migrating to cloud environments.

· Excellent organisational and task prioritisation skills.

· Knowledge of security products and cyber-security activities.

· Experienced presentation skills to large teams.
