Brighton College Prep School is seeking a part-time Administrative Assistant to start as soon as possible.
The role would suit an enthusiastic person with a genuine love of children and excellent communication skills. The postholder will be responsible for assisting with administrative tasks related to the smooth running of the school, including work associated with prospective parents and admissions related events. They must be confident, be able to work on their own initiative and have excellent planning and organisational skills.
JOB RESPONSIBILITIES:
- Covering Reception as a second receptionist when other person has to leave the desk, e.g.: delivering messages, deliveries, assisting covering lunch etc.
- Answering phones and greeting visitors/signing them in.
- Completion of administrational duties associated with the office, e.g.: post, and filing.
- Assisting with set up of clubs and activities onto the booking system and SOCS.
- Inputting calendar events from the booking forms for termly booklets.
- Ensuring that post is taken and collected to and from the College daily.
- Assisting with administration of school administrational tasks, e.g.: EYFS council submissions, data collection and change requests, termly audit of medications etc.
- Administrational activity support for Assistant Heads, Head of Departments and Head of Years.
- Assisting the Admissions and Communications team with event preparation and execution.
- Attend and take minutes at meetings when required.
- Trained First Aider – administering first aid and medication.
- To be in agreement with all school policies and promote good practice in attitude and behaviour towards children.
- Attending open mornings and admissions related events, which market the school, by speaking to prospective parents and acting as a first-class ambassador for the school.
- Any other reasonable management request.
SAFEGUARDING RESPONSIBILITIES:
- This role will involve daily contact with pupils and you will be engaging in regulated activity relevant to children.
- All staff and volunteers have a responsibility for promoting and safeguarding the welfare of children and young persons for who you are responsible and with whom you come into contact.
HOURS OF WORK:
- This role will work term-time only (35 weeks), Monday to Friday inclusive, with a 30-minute unpaid lunch break each day.
- On two days the hours are 9.30am to 5.30pm.
- On three days the hours are 9.30am to 3.00pm.
- The successful applicant will be required to work three Saturdays per year from 8.00am to 11.00am to help with Open Mornings.
