We are looking for a top notch Box Office Manager to join our team for the Edinburgh Festival Fringe Season 2023

The Box Office Managers main goal is to ensure the customer receives the highest quality service and in assisting the smooth operational running of the box office, making sure staff are fulfilling their duties to the best of their ability and within legal regulations.

Role commences 26th June and runs through until 3rd September

Box office Managers are an integral role within the box office team at the Assembly festival, Providing support to the box office team and creating an important link between the box office assistants, the Assembly Festival management team and visiting companies. The Box Office Manager is responsible for coordinating the team of box office assistants daily, ensuring that they are kept up to date with internal communications, coordination rotas, timesheets and maximising box office sales through effective customer service, supervision and training of box office staff.

Key Responsibilities
  • Liaise with venues, producers and the communications team to maintained and set up Assembly events on Red61- VIA if required including the arrangement and ongoing monitoring of offers, allocations and price-lists
  • Liaise with venues and box office teams re-mark backs and offer in a timely fashion as contractually agreed
  • Liaise with Head of Finance & Operations and Head of Communications, Box Office & Digital to create and maintain the weekly and bi-weekly sales reports, incorporating financial deals and any additional information required
  • Ensure Assembly Festival bookers have correct confirmation emails, instructions on ticket collection and have all information they need to attend events, including any automated pre and post-show emails
  • Work with the Head of Communications, Box office & Digital to set up and maintain any promotional offers and inform wider team to support customer service management
  • Work with the Head of Communications, Box office and the Marketing & Digital Coordinator to create and maintain the Box Office Briefing Pack and ensure it is updated with all promotions offer and major marketing activity daily during the festival
  • Keep notes on issues and changes as they occur for future management of box office
  • In agreement with Head of Communications and Box office agree on revisions and changes to process and update wider team
  • Ensure weekly reporting on sales to venue and Assembly festival's key management staff, including the set-up of automated reporting on Red61.
  • Implement the Assembly Festival's customer service policy
  • Work with the Head of Communications and Box office to ensure the website booking integration is efficiently optimized for customers and is utilizing the latest Red61 tools.
  • Coordinate ticket processes with venues and setting up onsite box offices that Assembly has, ensuring any onsite box offices are staffed accordingly
  • Oversee management of data sharing in conjunction with Head of Communications and Box office and ensure best practice when handling data
  • Assist Head of Finance & Operations with festival box office reconciliation and payments as and when required.
  • Train the Festival team to use the Red61 - VIA sales interface (processing sales, refunds, and other basic sales duties) and coordinate a Box Office staffing rota, including phone cover, monitoring of the
  • To act in accordance with the following, as they affect Box Office operations: Theatres Act, Data Protection Act, Health and Safety at Work Act, Disability Discrimination Act, and to maintain the security of the ticketing system with regard to the confidentiality of the personal data and financial information to which staff have access.

Paid at £660 per week, paid fortnightly in arrears.
