Hours/Status: Full-time, non-exempt status, average 36 hours weekly
Salary Range: $27.58 - $37.32
Most new employees will be hired at the beginning of the pay range for their job classification.
BACKGROUND
The Agricultural Institute of Marin (AIM) is an educational 501(c)(3) nonprofit organization headquartered in San Rafael, California. AIM's mission is to educate, inspire, and connect communities, responsible farmers, and producers as part of a healthy, earth-friendly, equitable local and regional food system. AIM serves 400+ farmers, food purveyors, and artisans from 43 California counties who participate in AIM's nine Certified Farmers Markets in the cities of Hayward, Newark, Oakland, Point Reyes, San Rafael, and San Francisco. AIM also provides hands-on and education programs to thousands of children and adults, operates a farm audit program, runs a mobile market for older adults and underserved communities, curates a multi-farm produce box program, and operates CalFresh/EBT and Market Match services to create a healthier, equitable food system across the San Francisco Bay Area.
JOB SUMMARY
The Bookkeeper provides support with the following tasks: accounts receivable and payable, cash management processing, reconciliation and reporting; vendor stall fee invoicing, payment processing, reconciliation and deposit preparation; other programs' processing and reconciliation; and assistance with Grant Reporting. This position requires a high level of attention to detail, organizational, and people skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Responsibilities:
- Weekly accounts receivable and accounts payable
- Weekly cash management processing and reconciliation.
- Weekly vendor stall fee processing and deposit preparation. Weekly and monthly vendor stall fee invoicing for app. 300 vendors: recording invoice amounts, processing payments and coordinating monthly billing; ensuring accuracy of data, reconciling records with employees
- Weekly processing of merchandise and program revenue (Rollin' Root, Bounty Box)
- Extensive monthly tracking and reconciling of vendor payments, and other program fee income in Quick Books. Follow up with unpaid fees or payment plan individuals. Some collections required. Research skills are necessary.
- Tracking and reconciling of EBT and other government food subsidies programs, compliance with reporting requirements of government contracts.
- Maintain vendor, donor and other administrative files
- Assist with the preparation of financial statements
- Perform other general office duties as needed

COMPENSATION CATEGORY
This position is non-exempt and eligible for overtime pay.

QUALIFICATIONS
- Organizational, verbal and written communication skills a must
- Competency in QuickBooks, Microsoft applications-Excel, Word and Outlook, and MarketWurks software
- Attention to detail and accuracy are essential in this position
- Understand Generally Accepted Accounting Principles (GAAP)
- 2 years' relevant experience required
- Bachelor's or Associate's Degree in Accounting preferred
Other Essential Qualities
- Solid research skills are necessary to complete vendor invoicing, EBT tracking and reporting, and weekly reconciliations
- Able to work independently to meet quick time constraints. Strong organizational skills.
- Excellent interpersonal skills and enjoys working as a collaborative team member in a small, dynamic organization
- Can handle multiple projects simultaneously to meet deadlines and work effectively with staff
- Attention to detail and follow-through on projects essential
- Sincere interest in farmers markets or local agriculture, a plus
