E-Billing Specialist, Legal Operations - Contract Position (duration 12 months)
3 hours a day Monday to Friday
Job location: Toronto, Ontario
The Billing Specialist, Legal Operations will be a key player in delivering vendor management across the Oxford Legal department. This role works closely with the Analyst, Legal Operations and is responsible for maintaining data integrity and performing critical vendor management tasks.
The Billing specialist, Legal Operations is responsible for working with Oxford’s e-Billing system, (Legal Tracker a Thomson Reuters product), performing invoice reviews, ensuring the timely and efficient payment of the legal department’s vendors, working with AP for responding to vendor issues and inquiries, and working with legal team members to ensure matter management and related billing are properly aligned. This role will interact closely with Accounting, Finance, internal legal personnel and Oxford’s legal vendors. You will be an active member and contributor to the Legal Operations team, supporting other team members on projects when needed.
Responsibilities:
Invoice review, audit to Oxford retainer letters and billing guidelines, processing which may include resolving system and vendor issues.
Communicate with legal vendors’ e-Billing departments with respect to e-Billing submission; ability to understand and adjust e-Billing LEDES files.
Report and follow up on outstanding invoices.
Create and set up new matters for lawyers in Legal Tracker and ensure allocations and approvers are appropriate, close matters as per vendors and internal requests.
Collaborate with accounting teams to ensure appropriate allocation of billed fees and payment methods are applied, input accounting details in matter profile.
Distribute annual accrual reports to property accounting team.
Support Legal Operations projects as needed
Education, Experience, Capabilities and Skills:
Bachelor’s degree or equivalent experience.
5 years of relevant working experience applying billing best practices or working in a legal environment such as a law firm or in-house legal billing department.
Background in finance is an asset.
Strong communication skills.
Highly proficient in Excel.
Experience with mainstream matter management/e-Billing platform (Legal Tracker would be ideal).
