Job summary
We are looking to recruit an enthusiastic and highly motivated Admin Team Leader for the Imaging Directorate at Heartlands Hospital. The right person will be forward thinking, able to embrace change and lead a team in a busy working environment.
The ideal candidate must have a good standard of education to include GCSE in Maths and English [Grade A to C or 9 to 4]; have proven keyboard skills and relevant experience in providing leadership and management. You will need to be a team player with customer care skills, experience of working within a hospital environment and using NHS systems.

The successful candidate for this role will have excellent attention to detail. strong managerial skills and be motivated to work towards service improvement. We are looking for someone who is resilient and adaptable in a fast paced professional environment, confident communication skills and be computer literate.
The Imaging Directorate provides 24/7 service delivery and has an established track record of service re-design and transformation.

Main duties, tasks & skills required
Main duties
Responsible for managing the administration team to ensure the flow of the administrative functions of the imaging department and support the delivery of high-quality care for our patients. This involves overseeing and supporting a variety of administrative roles.
To act as the point of contact ensuring that all queries are answered with skill, sensitivity and in a courteous and professional manner.
Day to day line management responsibilities for the team. This will involve sickness monitoring and management, appraisal completion, annual leave approval, ensuring mandatory training is within compliance, initial stages of grievance and discipline, work allocation, reviewing work performance and progress and chair recruitment panels.
Responsible for planning and organising rotas, workload allocation and delegation.
Problem-solve all day-to-day management issues, organising and reallocating work where situations change due to variations to the workload and staffing availability.
The post holder will manage and monitor performance of the administrative team to ensure that the service meets its operating targets.
The post holder will be a motivated team player, with excellent communication skills both verbally and written, along with exceptional problem solving and advanced organisational skills.

Essential
- Good General Education (eg. GCSE English and Maths A-C GCSE LEVEL 9-4
- Business Administration NVQ level 3 or equivalent experience in an Administrative environment

- Experience of dealing with the Public/Customer service experience
- Experience of working in a Secretarial/ Administrative role with a proven track record of problem solving
- Previous experience of transcribing formal minutes
- Experience of working with a range of Microsoft Office packages (eg. Word, Excel and Outlook)
