We support individuals with complex learning disabilities and/or autism in Swindon. You will be a key member of the multi-disciplinary team and assist in the promotion of a high quality service. The post holder will work with a high degree of autonomy to support our team of clinicians and you will be a highly valued member of our admin support team.

The Specialist Learning Disabilty and Autism Team has two care pathways:

  • Specialist learning disability health support and interventions. This service is available to adults with a learning disability whose health needs relate to their learning disability and cannot be met within reasonably adjusted health services.
  • Autism Diagnostic Assessments for people who do not have a learning disability. Assessments are provided for people who have believe they may be autistic.
We have an office base at Chatsworth House in Swindon, our administrator will need to have some office based time, although there would also be opportunity to work remotely, with flexible hours considered. We offer close support and supervision, the opportunity to work within a growing and enthusiastic team, and support to develop your skills and expertise.

The work associated with the post is within the community learning disability service. The ability to prioritise your personal workload effectively, act on your own initiative and have a flexible approach to duties is of paramount importance. The post holder will work alongside other administration staff and a lead administrator. You will need to be able to work within a team effectively and share work streams where appropriate. The post holder will be required to participate in wider team meetings, taking formal minutes, arranging meetings and taking calls from service users, carers, GPs and other external agencies, as well as liaising with clinical teams and staff, so good communication skills both written and verbal are essential.

We are a small and highly motivated team, committed to working in a clinically robust and supportive way, informed by service user feedback, offering flexible pathways with the capacity to adjust to individual need. The post holder will possess a high standard of secretarial and administrative skills, have a good working knowledge of all Microsoft Office systems, and be willing to undertake training in order to use other software packages, including our electronic patient record system (RiO). You will be responsible for arranging appointments, typing letters, processing referrals, recording service users information accurately on the electronic records system (RiO) and within paper files.

Liaise with a wide range of stakeholders, both internal to the organisation and external, including:
  • Medical Staff
  • Multidisciplinary Teams (Community or Inpatient)
  • Services Users and Carers
  • Health and Social Care teams
  • Third sector/voluntary agencies
  • Community groups and local authority provision
  • Other statutory agencies e.g. Police, Ministry of Justice etc.
Utilise written and verbal communication skills to connect with a wide range of people, including outside agencies, requiring tact and persuasive skills where there may be barriers to understanding or agreement.

Exchange verbal and written information with patients, staff and carers relating to appointments, admissions and meetings etc.

Provide and receive routine and complicated information, including dealing with enquiries from external stakeholders and the public. This may include sensitive information.

Work within a multi-disciplinary environment ensuring that communication with appropriate team members is effective.

To receive and open mail (paper and electronic as necessary) and distribute/despatch accordingly ensuring appropriate action is taken with high priority items.

To manage both telephone and face to face contacts with distressed service users in a supportive and empathetic manner.

Exercise judgement when dealing with patient enquiries, analyse and resolve non-clinical patient problems including resolving conflicting diary appointments or schedules, clinics, meetings, tribunals etc. Escalating issues to the Lead Clinical Services Administrator as appropriate.
