Job description

Ultimate Demolition and Construction Services is looking for a full time Assistant Director.

Responsibilities will include:
  • Supporting the director with day to day tasks.
  • Ability to prioritise and multitask efficiently.
  • Managing and receiving incoming messages, telephone calls and email correspondence on behalf of the director, ensuring no emails are missed with the ability to screen and act on your own initiative, using tact and discretion as necessary, taking messages or redirecting to others when appropriate.
  • Timely alerts to the director of any urgent issues are vital and to ensure that the director keeps on track and up to date with his workload. There will be a requirement to deal with sensitive information confidentially.
  • The director is an active working director and there will be a requirement to attend meetings on-site and work whilst travelling to projects as well as being able to work independently within the office.
  • Planning, co-ordinating and managing calendars and scheduling meetings.
  • Experience in invoice processing and analysis of outrun reports.
  • Supporting other management figures within the company.
  • Drafting and proof-reading of emails, tenders and on-site documentation.
  • Managing projects through to completion on behalf of the director
  • Pro-actively identifying opportunities to improve current processes and increase efficiency within the team.

Essential Skills:
  • Speed typing.
  • Highly organised with excellent attention to detail and time management.
  • Advanced keyboard typing skills with the ability to keep up with dictation.
  • Advanced word, excel, Xero and outlook skills.
  • Ability to prioritise and multitask efficiently.
  • Good working knowledge of how to set out emails, meeting minutes, tender documents and note taking with a positive attitude to learn new skills.
  • Excellent Calendar management.
  • Calm under pressure with the ability to communicate within a team and able to assign work to others.
  • Pro-active, highly organised problem solver with common sense approach.
  • Able to liaise and build relationships with people at all levels.
  • Trustworthy team player.
