Job description

We are looking to recruit an Assistant Practice Manager to join our existing team. As part of the leadership team your role will be varied and ever changing. You will be an adaptable and tenacious individual, able to think on your feet and get things done. You will have the key trait of attention to detail, you’ll be organised and able to juggle multiple priorities and deadlines. As the work involves representing our patients and communicating with third parties you will be a strong influencer and advocate.

Experience within the NHS, ideally primary care, and knowledge of S1 is not required but would be advantageous.

MAIN DUTIES AND RESPONSIBILITIES

Deputise in the absence of the Practice Manager

The post-holder will need to become familiar with all functions of the Practice clinical system and applications plus national and local quality standards for primary care/general practice.

To be involved in the management and development of Practice staff

To be responsible for the production of performance and quality standards within the Practice, delivered through the Quality & Outcomes Framework (QoF), Enhanced Services and other initiatives.

To be responsible for the maintenance of the practice’s clinical and other computer systems, and ensure delivery of high standards of data quality.

Support the Practice Manager with complaints

Lead on significant events ensuring these are recorded in a timely fashion and are followed up at regular intervals

Be responsible for organising a manual of practice protocols

Be responsible for maintaining practice inventory of equipment and organising repair and replacement where necessary

Responsible for overseeing stock control of stationary and toners and order supplies of stationary and toners as required.

To provide support to staff to ensure that they complete annual training on confidentiality and security of data and provide training as required

To provide support and training for current and new staff in resolving simple problem with PCs and printers.

To organise mass text communications to patients as needed such as bank holiday closing and any urgent alerts

To ensure that the building complies with all aspects of legislation and best practice

Provide administrative support to Practice Manager as required

Other Responsibilities

Health and Safety
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, the practice Health &Safety Manual, and the practice Infection Control policy and published procedures. This will include:

  • Using personal security systems within the workplace according to Practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Actively reporting of health and safety hazards and infection hazards immediately when recognised
  • Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
  • Undertaking periodic infection control training (minimum annually)
  • Reporting potential risks identified

Risk Management and Clinical Governance

Any breach of confidentiality may render an individual liable for dismissal and/or prosecution

Safeguarding

Whilst in post, staff are expected to acquire and update their knowledge on safeguarding as per the intercollegiate document requirements and CentralMedical Centre policies.

Professional development

The post holder will participate in any training programme implemented by the practice as part of this employment and to participate in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development.
