Based at Queens Campus, this role requires an enthusiastic, committed person to be responsible for leading a diverse, tightly knit team who work well together. You will be able to prioritise your own workload and work well within defined timeframes, providing information and reports. Flexibility in your approach to managing Team Leaders and staff on a day to day basis is required as the daily demands are very fluid. Ensuring your team adhere to Trust & local Policies and Procedures, you will also offer support, motivation and development for both individuals and the team. You will lead your team by example and inspire them daily. Main duties of the job We have a passion for driving the service forward to meet the changing requirements and demands of the Trust in order to support the management of capacity and flow. Developing effective partnerships with service users you will build upon those relationships and offer a service that fits their needs. The post holder will engage and support staff through day to day service provision including any changes in order to maintain Patient Movement services. You will manage the team in line with Trust Policies and Procedures. Organisation of fully trained staff across a 24hr period, 7 days a week you will be responsible for overseeing future planning to ensure sufficient staffing at all times, delivering the highest quality of care to our patients. Effective planning of rotas and operational systems make sure we have a flexible, efficient workforce to meet the Trust’s needs and strategic targets Using Nerve Centre and linking in with the Facilities Operations Team you will maintain Patient Movement’s responsiveness to requests achieving business and operational goals in line with the needs of the users and contributing towards the Trust’s capacity objectives. You will use the data to analyse and review and make appropriate recommendations for service improvements, and take part in the implementation of suggested quality and cost improvements. This post is based at Queenscampus but may involve travel to other campus for meetings / training / other circumstances. Patient Movement services provide a high level of support on an on-going basis for overall capacity and flow.. Detailed job description and main responsibilities Assist with the development and implementation of procedures to monitor performance of services. Ensure data is collected, analysed and reviewed; and appropriate recommendations made, auditing actions taken. Effectively communicate with senior clinical leads, heads of departments and the site team to ensure services are aligned to meet the Trusts operational and strategic targets The effective planning of operational systems to ensure the workforce is flexible and efficient to meet the Trusts requirements e.g. staff rosters, work schedules, work instructions and procedures Suggest quality and cost improvements for all services and assist in their implementation. Produce reports and and business information as required. Continuously identify areas for service improvement, development and cost efficiencies for all aspects of the service Using professional knowledge and experience to be responsible for the purchase and maintenance of equipment/assets, ensuring that it is used in a safe and operable condition. To investigate and respond to complaints in line with the Trusts Complaints Policy and Procedures. To take responsibility for ensuring satisfactory major incident/contingency plans and procedures are provided. To ensure all staff receive appropriate training and development to support them in their role. Participate and contribute to regular physical inspection of the Trust’s premises e.g. (PLACE – Patient Led Assessments of the Care Environment), NHS Improvement (NHSI) , Care Quality Commission (CQC), Environmental Health Officer (EHO), and Infection Prevention and Control. Responsible for the setting of clear performance objectives in line with the agreed Trust appraisal process, ensuring that each staff member understands their individual responsibilities and act accordingly. To manage reporting systems such as HACCP (Hazard Analysis and Critical Control Points) for ward kitchens with regard to the promotion of safe and hygenic premises and practices for the delivery of food to patients, and HTM 01-04: Decontamination of linen for health and social care. Human Resources Undertake the line management of reporting staff including supervisory staff; setting objectives and undertaking annual appraisals. This includes ensuring they maintain their continuous professional development and are developed to maximise their performance in their roles. Manage the recruitment, selection and retention of staff which will include the review of staffing, advertising, short listing, interviewing, appointment and induction of new starters. Participate in recruitment drives and identify changes in staff / skill mix where appropriate in order to deliver the service. Ensure that there is effective two-way communication and involvement for cleaning/food service staff, so that staff can understand key trust objectives and how they impact on them and that staff’s constructive feedback and ideas are properly considered and utilised through regular team meetings. Ensure all staff are managed in accordance with the Trusts Policies and Procedures. Responsible for managing conduct and performance issues with staff in line with Trust policies and procedures. Responsible for ensuring the effective management of staff absences in line with Trusts Supporting Attendance Policy. Ensure all staff are given an annual appraisal. Financial Management Purchasing responsibility. Have appropriate systems in place to effectively manage the financial resources of services. To ensure all purchases are in line with standing financial instructions and can demonstrate best value for the Trust through appropriate tendering of consumables. Ensure that all consumables are stored securely at all times. Monitor the budget expenditure monthly with the Assistant Head of Facilities. Work with the Assistant Head of Facilities to identify and deliver annual efficiency savings within the specialities managed. Leadership Lead by example and display a leadership style that encourages and motivates staff to provide an excellent cleaning and food service to the Trust. Lead, manage and develop staff, supervisors and managers; encouraging maximum involvement in the delivery of services to optimise their performance. Provide mentoring for the supervisory team, to give guidance and support to help them fulfil their roles and responsibilities Prioritising workloads to enable activities to be completed within specified timescales. Work with the Assistant Head of Facilities to ensure the annual objectives are successfully delivered. Chair meetings, including the preparation of agenda, minutes and action plans as necessary. Leads and develops effective communications systems for the site wide team Provide strong visible leadership within the Service in partnership with the Service Leads. Person specification Training & Qualifications Essential criteria Degree/HND level qualification in a relevant facilities discipline or equivalent qualification, experience and knowledge. Desirable criteria Leadership training Experience Essential criteria In depth experience to include management/leadership experience within a hospital environment. Practical experience working with and influencing groups and multi professional teams.
