About the role

This is a key role and requires the right person to take the lead and support in ensuring all facility function are delivered effectively across our UK campus. This role will be based at Malmesbury however flexibility is required as dependant on operational demand, you will be expected to travel to any of our UK campuses. Responsible for supporting effective delivery and management of all service streams both inhouse and outsourced including but not limited to; cleaning, site services, goods in, reception and bus service provisions.

Working alongside, and in support of the other key functional leaders (workplace, building services, catering, projects and health & safety), this role requires full commitment to ensure successful operational delivery.

Key Accountabilities

  • Supporting the management of the day to day operations across the UK campuses ensuring the highest possible standards are delivered across all services streams

  • Managing service providers whilst ensuring contracts are in place to effectively support all facilities functions

  • To develop tenders and co-ordinate project timeframes both internally and externally with vendors / suppliers

  • Be the point of contact for our service providers, leading on variations in relation to service scope whilst communicating all changes to our customer

  • To create and update a preferred suppliers / contractors list used within facilities functions

  • Deliver, control and monitor small internal projects including relocations / workplace alterations

  • Contribute and maintain policies and processes, as well as supporting the change management process and associated SLA’s

  • Ensure internal resource is suitably developed ensuring operational excellence – ensure all mandatory training is scheduled accordingly by external training providers

  • Deputise for Senior Manager, Facilities Operations including attending meetings and providing operational updates or guidance for operational service streams

  • Manage budgets and CAPEX whilst being accountable for producing monthly reports

  • Accurately forecasting spend whilst producing business cases where needed which may need to be presented to senior stakeholders

  • Act as an estate’s ambassador promoting a health & safety culture across our campuses

  • Regularly inspect / audit health and safety issues across the UK campuses ensuring premises exceed required standards to pass both internal and external audits

  • Maintain action schedule of required improvements whilst monitoring progress, escalating actions when required


About you

  • Ability to communicate effectively at all levels including executive level, both written and in a style appropriate to the audience

  • Be confident and comfortable in the face of adversity and bring professionalism to your team and those around you

  • As a manager, have the ability to respond, prioritize and implement under pressure

  • Have excellent interpersonal skills; ability to build productive working relationships and influence

  • Have excellent analytical skills; to be able to assess problems thoroughly and drive logical conclusions

  • Be assertive with a readiness to press teams and suppliers to take remedial action when required

Essential qualifications and experience:

  • Previous experience in a similar environment and/or facilities management

  • SAP experience beneficial

  • BIFM membership preferred

  • Ability to deal with multiple issues, tasks and prioritise concurrently

  • Good analytical and problem-solving skills

  • Self-motivated and able to work on own initiative within a team environment

  • Good IT skills - proficiency with Microsoft package software

  • Decisive and willingness to show initiative
