Job Purpose
- Work across the Merseyside contract with an existing Facilities Manager (FM) as a mentor, and work towards achieving the necessary qualification to become a full Facilities Manager
- To provide an efficient support and co-ordination management service in the absence of the FM to ensure the smooth running of the Merseyside PFI contract.

Key Responsibilities and Accountabilities
- Deputise for the FM when he/she is not on site
- Manage Caretakers and Cleaning Staff in the absence of the FM, Head Caretaker and Cleaning Supervisor
- Act as a SPIE client interface with the customer and relevant authorities
- Assist with the daily management of all logged events with the SPIE Helpdesk, ensuring that deductions are kept to a minimum
- Provide a point of contact for customers, technical staff/engineers, support staff and management.
- Provide telephone support and answer calls in a professional manner.
- Research, prepare and supply information as requested.
- Operate a CAFM (Computer Aided Facilities Management) system e.g. Concept/Evolution.
- Provide technical and statistical information for the department, in conjunction with the Mobile Resources Co-ordinator.
- Data inputting, archiving, arranging meetings.
- Undertake day to day typing/administration in association with the commercial and helpdesk operations.
- Ensuring all technician paperwork is received by the office in a timely manner.
- Ensuring KPI’s/SLA’s are met.
- Communicate work requests and all other relevant planning information to the Helpdesk
- Build and maintain good internal and external relationships with customers and suppliers
- Arrange contractor visits to site and act as the main SPIE interface
- Obtain, organise and monitor the use of materials and equipment
- Draft and prepare documentation for invoicing
- Construct staff rotas to ensure that each shift is covered
- Assist with the preparation of monthly reports, audits, returns, leave records and submit to the relevant parties as required
- Undertake office duties, to fulfil contractual obligations
- Maintain compliance records in line with statutory regulations
- Issue and follow-up of Engineers’ work orders and updating information onto a database.
- Updating holiday and sickness records
- Undertake any reasonable task as requested by the Line Manager

The knowledge, skills, qualifications and experience relevant to the position are:
Essential
- To achieve the qualification through the apprenticeship levy scheme by completing the Facilities Manager apprenticeship training which is 24 months.
- Professional manner and a self-starter
- Able to problem solve and make decisions
- Demonstrate ability to manage staff effectively
- Ability to work on own initiative and as part of a team.
- To prioritise own workload.
- Excellent communication skills
- Proficient in Microsoft Office packages.
Desirable
- Knowledge of risk management
- Management Qualification
- Knowledge of scheduling sub-contractors.
