Job description
We are looking for an Apprentice Office Administrator to join our team.
You will be working Monday - Friday 08:30 - 16:30 with time off to complete your level 2 NVQ in Business Administration.
· Apprentice Office administrators are responsible for helping with organising all the administrative activities that facilitate the smooth running of an office.
· They must make sure that office equipment is maintained, relevant records are up to date and that all administration processes work effectively.
· Apprentice Office administrators have a range of duties and responsibilities, varying according to company requirements.
· Wee be required to complete a level 2 NVQ in Business Admin – Time will be allocated away from duties to allow you to complete this.
Typical work activities
- Using a range of office software, including email, word processing, spreadsheets and databases
- Managing filing systems
- Implementing new administrative systems, such as record management
- Recording office expenditure
- Organising the office layout and maintaining supplies of stationery and equipment
- Maintaining the condition of the office and recording any repairs needed.
- Providing administration support for senior management
- Responding to customer enquiries and complaints
- Attending conferences and training as required
Daily / weekly /monthly tasks
- Produce daily staff and young adult’s paperwork
- Record all lunch money daily
- Photocopying and laminating
- Answering the telephone and relaying messages appropriately
- Checking, responding to and forwarding on emails
- Providing petty cash to staff and keeping the records up to date
- Setting up and maintaining staff and young adult files
- Ensuring all post is distributed to the intended person
- Ensuring that all post is sent out daily
- Ensuring the franking machined is maintained and in credit
- Archiving
- Monthly audits to be completed including first aid boxes
- Cloud updates including risk assessment’s policy and procedures
- Certificates to be recorded in files.
- Any other duties as requested by Office Manager.
