The role
To be an integral, supporting the strategic priorities of the Distribution and Marketing team via working with product teams, broker partners and internal stakeholders. To provide coordination, support, and administrative assistance to the Distribution, Marketing, and Events functions. Our Aspen Values are expected to be reflected in the delivery and performance of every role.
Key accountabilities
- Support the Distribution team, by attending meetings where applicable and following up and recording/ monitoring the action points.
- Assist in preparation for meetings – external (i.e. client / broker) and internal (i.e. ExCo updates). Gathering relevant data, creating agendas and coordinating other meeting materials. Coordinating meeting invites for multi participant meetings
- Support Distribution MI requirements including but not limited to Pipeline production (broker systems), broker engagement MI, manage the Aspen strategic broker partner data, and Product Line Initiatives
- co-ordinate strategic interaction with brokers and Aspen teams and BD team managers, maintenance of initiative and broker strategy tracking documents
- Support Marketing activities - work with the Head of Marketing to support Aspen’s objectives:
- Assist Marketing team in developing and/or updating marketing materials including brand collateral, product brochures, digital newsletters, advertisements, sponsorship materials, etc.
- Qualitative feedback from internal stakeholders – including underwriting teams, and Business development team leadership
- Supporting the overall objectives of the Business Development team as set out in our annual function plans
- Ability to reflect and administer Aspen values/behaviors in day to day in Marketing and Product Development work
- Project management of certain marketing deliverables, including to work cross-functionally within Aspen to manage Product Line and Legal/Compliance team approvals
- Develop, test, distribute and report on e-blasts via Aspen’s e-marketing system
- Coordinate specs and delivery timings for advertising publications to support Aspen’s advertising strategy
- Assist the team with the production and inventory maintenance of materials including brochureware, signage and branded merchandise
- Perform research/competitive analysis, data reporting, and other program support on as needed basis
- Coordinate with Aspen Compliance and Legal functions where appropriate and take lead on monitoring services as needed
- Organize and maintain filing system for broker contracts
- Collating of various regular Board and/or Committee papers, product team feedback and support the Innovation Working Groups administrative work
- Prepare PowerPoint slides for seminars and presentations
Skills & experience
- Insurance knowledge is desirable but not essential
- Ability to use Microsoft Word, PowerPoint and Excel
- Ability to perform micro level work on a macro lens
- Adhere to Underwriting and Group Strategy (understanding of the bigger picture)
- Ability to take succinct notes and actions from meetings
- Willingness to assist and help out when needed
- Self-motivated, confident and decisive
- Good organizational and prioritization skills, some event management experience would be advantageous but not essential
- High level of professionalism
- Strong customer focus and time management
- Ability to work in fast moving environment with rapidly evolving targets
- Strong verbal and written communication skills
- Ability to build interpersonal relationships with business peers of all levels
- Be able to work on own initiative and meet deadlines
- Attention to detail and pride in work
- Relevant experience with a proven track record

- Organizational skills are very important for this role
- Power BI, Canva or equivalent design tool
- Insurance experience is desirable but not essential
