Job Role: Administrative Assistant
Rate: £11 - £12.50 ph depending on experience
Location: Primarily remote, with in person work in Bristol from time to time e.g. picking up equipment from Shrouk’s office
Hours: Minimum 4 hours per week: You need to be available for two hours every Wednesday anytime between 10am and 4pm, and for a further two hours every Friday anytime between 9 am - 1pm
Duties:
- Regularly monitoring Trello and Email inboxes for new tasks, checking up on older/pending tasks
- Completing weekly admin tasks assigned by Shrouk and confirming completion/updating where appropriate
- Monitoring and responding to booking emails, PR requests
- Assisting with appointments/meetings where necessary
- Organising postage/ordering resources
- Posting to social media feeds with captions and where possible alt text
- Updates with Kay/Trust finance team
- Some data handling/gathering for social media content views, reach and follower count
- Setting up and maintaining equipment for workshops and appearances
- Setting up mailing lists, mail addresses, and aliases,
- Keeping squarespace website up to date
- Managing 1password accounts
- Setting up laptops for workshops and keeping an inventory
About you:
- Detail oriented with excellent observation skills
- Good fluency with Google Suite, social media websites and general web use
- Strong written word skills
- Excellent knowledge of Instagram and LinkedIn
- Good knowledge of TikTok
- Strong use of Google Sheets and excellent understanding of spreadsheets
- Able to adapt to new tasks or changes of plan
- Self starter - able to google search issues independently
- Bristol location desirable (for picking up equipment from time to time)
About the role:
Shrouk works very hard in a number of different sectors, so requires a varied range of administrative assistance. You will be assigned tasks via email, discord or trello, so having a handle on notifications and inbox management is a must. Once you have logged on and confirmed your new tasks, you will be in charge of managing our time effectively. Trello is a wonderful system for updates as anything that gets stuck in progress can be moved to the appropriate board, so you will have a very visual scope of what needs to be done or followed up on.
You will mostly be handling the administrative side of things and will not usually need to worry about editing video, podcasts, or uploading content, however there may be occasions where your help is needed here. In these cases, you will need to know that at present we upload one episode of Badass Engineers per month to SpotifyForPodcasters (previously Anchor.FM), and 3 short videos promoting each episode to Instagram, Tiktok and LinkedIn. You will be given access to our secure password sharer so you can access all of these accounts when needed. You may be asked to write captions or alt texts with these posts.
Similarly, you may need to talk with the Shrouk El Attar Trust team. SEAT is Shrouk’s charitable trust which provides relief and development funds to queer refugees. This team is mostly separate and self-managing, however you may be asked to discuss finance administration with Kay, the team leader.
You will be asked to assist with basic set up and maintenance of equipment used in workshops and talks, so basic computer literacy and being comfortable with installing/updating apps and programs across operating systems is essential.
