The Role
We have a fantastic opportunity for an experienced Administrator/Facilities Support Coordinator to join our team on a permanent, full-time basis in Nottingham. You will provide a first-class service covering either of our reception areas and become part of a truly unique and exciting company.
As the first point of contact for our visitors, you will be responsible for managing a busy switchboard and directing enquiries to the right part of the business. You will be expected to demonstrate excellent customer service to everyone that you meet whilst delivering a high standard of administrative support to the wider site; arranging travel and hospitality, organising shipments, calendar management and credit card payments.
In addition, you will
- Make sure visitors have signed in/out correctly
- Liaise with shipment and courier companies to ensure a smooth collection/delivery of products into and out of the company
- To provide general practical support on a day to day basis for Facilities Management
- Daily update of worksheets to log company shipment activities (Excel)
- Sort and distribute post and internal mail
- Franking of all outgoing post, replenish franking machine
- Arranging DHL shipments
- Monitoring stationery stock levels and dealing with weekly stock replenishment
- Dealing with all incoming faxes, and distribute to the relevant person
- Filing, photocopying and shredding paperwork
- Provide administrative and business support to the wider team, working effectively with colleagues in the reception/administration team and other areas of the business, to achieve objectives.
- Fire Alarms – when necessary, completing a smooth evacuation of Reception area and associated tasks required for this.
