Job description
The role
The Administrator will provide comprehensive support to SME team within the Careers Service to support them to achieve their objectives and strategic ambition.
They will provide confidential/sensitive administrative support and manage tasks for our City Challenges, IKEEP and SME Internship scheme programmes, such as maintaining student records, dealing with enquiries, booking appointments, compiling data and basic reports, as well as helping analyse the impact of our programmes and activities.
The changing Higher Education landscape needs regular monitoring of standards and improvements implemented and therefore the role requires adaptation of work activities as well as responsibility in terms of accuracy and attention to detail.
What will you be doing?
- Work closely with colleagues in the SME team enabling delivery of high-quality outputs, particularly relating to City Challenges, IKEEP and the SME Internship scheme.
- Provide front of house or reception services dealing with students attending in-person aspects of the three programmes, referring on for further support as appropriate
- Produce high quality, confidential documents for internal purposes/external bodies/other organisations.
- Co-ordinate and collate service feedback to inform service improvements and maintain webpages and databases to ensure up to date information is available.
- Provide support around applications, event attendance and/or contracts to identified groups of students within boundaries of expertise, signposting to other services as required.
- Gather, maintain and manipulate routine data for others to interpret using spreadsheets and standard University Information Systems and collate information for reports to monitor data trends
- Provide support with paperwork and general administration/minutes for leaders involved in projects, activities and committees.
- Ensure that relevant meetings/events are arranged effectively including planning, administration, meet and greet, organising travel and other logistics as required.
- Provide support with managing communications and obtain information required for publications, reports, bulletins and other documents to promote events, activities and successes of the team.
- Develop and maintain up to date knowledge of the business priorities of the Division and its policies/structures and work flexibly to support the wider service.

The successful candidate will be comfortable working with multiple colleagues and stakeholders across several different programmes, managing their own time and communicating clearly with relevant parties. You will have excellent written skills and the ability to adapt as needed to support with different parts of the team’s offer.
