Job description
To provide a high quality, comprehensive and confidential secretarial and Administrative service, to the Psych Liaison team, by efficiently working with team members, Consultants, Senior Managers and the Operational Manager to accomplish all activities required for Psych Liaison and its Commissioners.
To proactively undertake all administration for the Psych Liaison team by sourcing and processing information, responding to queries/producing, performance reports relating to team/service areas, the majority of which will be of a highly sensitive nature. To be managed, supported and led by the Lead Administrator for Psych Liaison, as well as working in collaboration with other Administration staff for Psych Liaison.
The post holder will be required to work in a very busy and demanding environment and should be flexible and adaptable whilst having the ability to prioritise work and use their initiative in order to make sound judgments’ in order to complete the tasks at hand.
To be the first point of call for Psych Liaison, taking all incoming messages, keeping records of such messages and disseminating them in an appropriate and timely manner.
Responsible for the upkeep of all databases within Psych Liaison, i.e. monthly reporting of admissions; Psych Liaison data; drug and alcohol information; interpreter database; ensuring that all relevant information is prepared for submission to team Leaders for review and final send off.
Responsible for liaising\communicating with patients, legal professionals, other clinicians and members of the multidisciplinary team as appropriate.
To maintain e-filing systems in a standardised format ensuring information relating to service users are appropriately stored maintaining confidentiality at all times in line with record keeping policies.
Responsible for maintaining diaries for the Psych Liaison team members as instructed not excluding Consultants; ensuring that information is incorporated into outlook calendar so that other HCP’s can check their availability for meetings and to be familiar with HCP’s whereabouts & schedules at all times.
Responsible for arranging meetings, assisting with the preparation of teaching sessions organising catering, taking minutes at such meetings when requested and prepare to circulate such paperwork on behalf of the Consultants and Operational Lead as instructed by them or by direct line manager in line with Administration standards.
PERSONAL DEVELOPMENT
Undertake annual Performance Review and Personal Development Planning. Twice annually with line manager
Adopt and implement agreed service developments in line with the Directorate and Trust objectives.
To receive regular one to one and team supervision from the Lead Administrator for Psych Liaison and to type up such supervision sessions and forward copies for approval to line manager.
To be responsible for your own personal development
To ensure that all mandatory training courses are completed annually by booking on to course via training database and providing line manager with dates and certificates of courses.
