Job description

Fixed term contract for a maximum of 3 years, with an immediate start.

The Department of Physics seeks to appoint a part-time 0.5 FTE Administrative Officer to manage the administration of two research projects funded by the EPSRC.

You will be responsible for providing high level administrative support for research grants, working closely with the academic leads.

You will spend the majority of your time supporting the ‘Terabotics- terahertz robotics for surgery and medicine” programme grant, which began in September 2021 and runs for 5 years. The programme aims to combine terahertz technology with surgical robotics to bring a step change in cancer diagnosis and surgery. It is led by Professor Emma MacPherson, alongside another 8 senior scientists from 3 UK universities.
You will also support a Prosperity Partnership grant led by Professor Mark Newton.

You will have responsibility for the day-to-day administration of the grants, including budget management and equipment purchases. You will be an excellent communicator at all levels and will be responsible for preparing and presenting detailed reports and statistical analyses, including financial reports. You will be capable of working effectively both independently and as part of the wider project team. You will have excellent planning and time management skills and be able to use them to ensure the objectives of the project are achieved effectively.

Job Description

JOB PURPOSE

Responsible for high level administrative support for the EPSRC funded Terabotics Programme grant and Prosperity Partnership grant.


DUTIES AND RESPONSIBILITIES

1. Planning, coordinating and supporting the delivery of all aspects of administrative support for the projects, to include financial management of the project budget, managing the project website, collecting and compiling monthly reports from all participants in the programmes, assisting with press releases, recruitment of staff, purchases of equipment, organisation and scheduling of meetings.

2. Providing advice to academic staff on procedural and regulatory matters and dealing with finance and expenses related queries. Responsible for leading on purchasing new equipment and participating in the preparation of grant applications for hardware development, upgrades and new instrumentation.

3. Designing and implementing administrative systems and processes relating to the project activities and record activities to ensure all milestones are met, working with other staff as required. To include development and management of the project website, outreach and communication activities as required and in liaison with appropriate academic staff.

4. Assisting the investigators with collection of research findings and all reporting, including compiling annual reports.

5. Organising workshops, conferences, meetings and events to include annual events, advisory board meetings, industrial seminars and collaborator visits.

6. Managing the physical space and IT needs of the projects, liaising with Estates, IT Services and other departments as required.

7. To carry out any other duties commensurate with the grade and purpose of the post as required.
