As a member of the Central Modules, Marks and Assessment team, within the Education Group, you will contribute to supporting an excellent student and staff experience through the effective management of exams operations. Working closely with academic and non-academic departments, you will oversee the delivery of central exams and support continuous improvement of the service through development of associated systems, processes, procedures and staff.

You will have an excellent educational background, including a good honours degree (or equivalent). Previous experience of university administration is not essential, but highly desirable. You will have excellent communication skills, meticulous attention to detail, and the capacity to master new areas of knowledge quickly. You will have a flexible approach to work, the ability to progress various projects simultaneously, and be able to work both independently and as part of a team.

The role involves supervision of four staff within the Modules, Marks and Assessment team alongside the current administrative officers, together with seasonal temps to deliver invigilation and other exams functions. It will also include some working outside of core hours (for example weekends) contingent upon the exams schedule.

Job Description

JOB PURPOSE

To provide excellent administrative support to the Modules, Marks and Assessment Manager in the area of examinations and assessment and contribute to the management and development of the University's examination and module registration systems for taught qualifications.

Support effective management of the Modules, Marks and Assessment team with the aim of providing a high level of service to students and academic departments and ensure the implementation of University procedures and regulations with regard to examination and assessment.


DUTIES & RESPONSIBILITIES

1. Assisting the Modules, Marks and Assessment Manager as required in the planning, management, operation and support of centralised examinations (for example examination scheduling, organisation of invigilation, exam logistics).

2. Managing preparations for online and physical examination sessions for centrally scheduled examinations, including for example:

  • Overseeing submission and processing of examination papers.
  • Acquisition of examination answer books and other examination materials.
  • Recruitment, retention and allocation of invigilators.
  • Supporting online exams.
  • Reasonable adjustment arrangements.
  • Venue logistics and servicing of examination sessions.

3. Supporting academic departments in the use of University-wide platforms to deliver key assessment processes and exams (for example, marks management, online assessment, module registration, external examiners).

4. Managing the external examiner nomination and appointments process, including calculation and payment of fees and expenses, the annual report process, etc.

5. In co-operation with Administrative Officer counterparts, supervising an administrative team of four staff focused on the administration and organisation of centralised examinations, including conducting annual reviews and regular one-to-one meetings.

6. Dealing with, and resolving, relevant issues and queries raised by Departments and students.

7. Maintenance, development and implementation of continuous process improvement relating to centralised examinations and module registration, including liaison with academic departments to ensure central exams and associated data management processes are well understood.

8. Involvement in University-wide projects and developments as appropriate.

9. Ensuring student/staff communications, web content, information, advice and guidance related to Exams services and responsibilities are accurate and up to date.
