Job Purpose: Administrative support to the Cadets and support to the general administration of the Secretariat.
GENERAL DESCRIPTION:
1. The Administrative Officer Cadets and Youth is a Grade E1 (Crown Service) who reports to the Business Development Manager and who provides administrative support to the Deputy Chief
Executive.
2. Support to the Cadets and Youth output forms an important part of the RFCA mandate. The task involves the incumbent having an in depth understanding of relevant matters which affect the
Army Cadet Force, RAF Air Cadets, Sea Cadet Corps and Combined Cadet Force.
3. Within the wider youth community the responsibilities can vary from supporting the DCE in provision of briefing materials, statistics, and advice on procedural matters to liaison with outside agencies across Wales.
4. Deputise for the Office Manager during absences.
5. As the post holder will have access to MOD OFFICIAL – SENSITIVE information, they will be required to pass basic security checks and sign the Official Secrets Act.
PRINCIPAL AREAS OF ACCOUNTABILITY/TASKS AND DUTIES:
1. Youth and Cadets. a. Monitor compliance and audit of ACF regional administration. b. Manage the Personal Records Files of Cadet Force Adult Volunteers in accordance with CRFCA Data Protection Policy and Directive1, ensuring that files are stored securely. c. RFCA is the Nominating Authority for the ACF and is responsible for leading on administrative processes and ensuring that the required checks have been carried out prior to acceptance as a Cadet Force Adult Volunteer (CFAV).

d. Supporting the Chief Executive and Deputy Chief Executive in the proper administration of CFAV. e. Provision of support and advice to ACF county AOs in G1 and MS matters and JPA when needed. f. Liaise with 160 (Wales) Brigade Cadets Branch, Council of RFCA and Army Cadet
Charitable Trust UK (ACCT).
2. Alternative Venues. RFCA for Wales relies heavily upon Regionally Generated Income
(RGI) to fund Community Engagement activity and help maintain the Reserves and Cadets Estate.
The AO supports the Business Development Manager to managed hiring’s and lease agreement. a. Administer the Events Booking System. b. Receive enquiries and process. c. Liaise with units d. Liaise with customers. e. Issue contract documents & admin instructions f. Handle enquiries & questions g. Review bad debts list and chase in conjunction with Finance Department. h. Monitor actual hires i. Raise invoices j. Monitor Social Media Monitor and Publish as required
3. General Office Duties a. Control of conference room bookings, arranging refreshments and working lunches as required. Advise MGS of all visitors in OM absence. b. Ordering of office stationery and photocopier consumables. c. Running the general office on a day to day basis in conjunction with the Office
Manager as appropriate. d. Support the administration of the Association Annual General Meeting.
