Salary - £35,000 - £40,000 DOE

Based – Royal Wootton Bassett, Swindon

Reporting to – Head of Contracting EMEA / AMER

Located in the UK, our Head Office is home to a team of over 200 who specialise in creating competitively priced, unique cruise packages targeted at both traditional cruisers and the “new to cruise” market. In addition to our cruise holidays, we also create a selection of luxury land-based holidays that are unique to every individual that take them on a journey into the heart of a region.

This will help develop both individuals and the company in our fast moving and developing business.

Overall Objective

We are seeking a meticulous and organized individual to join our travel business as a Stock/contract Controller. In this role, you will be responsible for managing the administration team within the contracting department and monitoring the committed elements of our travel products, ensuring efficient stock control processes, supporting the smooth operation of our business. Your attention to detail, analytical skills, and ability to collaborate with cross-functional teams will be essential in maintaining accurate stock records and optimizing stock management practices.

Responsibilities

Contract Control -

· Monitor and maintain accurate records of inventory levels, including tracking stock movements in line with Trading. Conducting regular allocation reviews and reconciling any discrepancies.

· Ensure adequate stock levels are maintained to minimize stockouts or overstock situations and to meet trading requirements – Early flag v release date.

· Develop and maintain contracting management procedures, including recording contracts/commitments, reporting unsold (stock levels)

· Implement and maintain effective stock control systems, including accurate unsold items and release dates (contract expiration dates)

· Risk Management: Identify and mitigate inventory-related risks, such as stock obsolescence or expiry. Implement appropriate measures to minimize loss and maximise inventory value.

· Maintain contracted terms and conditions – Interface with Cancellations and Concierge departments.

· Monitor run rates v commitment – interaction with trading and finance.

· Manage and maintain the booking system (CSI) used by the company and admin team.

Reporting and Analysis:

· Effective management of allocation reporting, involving generating accurate and timely reports to track and collaborating with various departments and ensure alignment with trading decisions.

· Inventory tracking: To determine unsold items, inventory tracking systems should be in place. Regular inventory counts and reconciliation’s help identify discrepancies between physical stock and reported stock.

· Contractual agreements: Review and understand the terms and conditions outlined in contracts or agreements with suppliers. Ensure that stock release activities align with the agreed-upon terms.

· Reporting and Analysis: Generate regular reports that provide insights into the levels of committed stock versus released stock.

Cross-Functional Collaboration:

  • Collaborate closely with sales, customer service, and operations teams to ensure adequate stock availability to fulfil customer orders and meet service level agreements, as well as ensuring stock is booked correctly.

Qualifications and Skills:

· Proven experience in stock control, inventory management, or a similar role, preferably within the travel or hospitality industry.

· Strong analytical and problem-solving skills, with the ability to interpret data and make informed decisions based on stock movement patterns, sales data, and demand forecasting.

· Proficient in using inventory management software and MS Office applications, particularly Excel.

· Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

· Strong communication skills are necessary for coordinating with internal teams and other stakeholders. This includes the ability to convey information clearly and resolve issues.

· Knowledge of supply chain management principles, including forecasting, demand planning, and procurement processes would be advantageous.

· Familiarity with travel products and industry-specific inventory challenges is advantageous.

· Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.

· Previous experience in managing a team
