Job description

The Administrative Assistant will provide administrative support and assist in the operational management of the Palliative Care Service. The main aspects of the role will be to support the Nurse Consultant and team members to ensure the smooth running of operations and service delivery standards are met. The post holder will be based in the palliative care service at the Homerton hospital which provides specialist palliative and end-of-life care to patients and their families at the hospital and Mary Seacole Nursing Home.

  • To maintain realistic and manageable diaries
  • Act as a first point of contact for telephone calls, and where appropriate using own initiative to deal with issues
  • To ensure all aspects of meetings/conferences are organised, agenda developed, and prompt action taken maintaining timely responses to deadlines at all times
  • To ensure all aspects of the departmental education programmes, internally and externally, are organised and run smoothly, keeping an up-to-date record
  • Attend departmental meetings, record accurate minutes, and disseminate them to relevant individuals/team
  • Responsible for drafting correspondence that may be required or requested, and attaching any appropriate documentation
  • Ensure all incoming mail/emails are prioritised and forwarded to relevant individuals and dealing with routine correspondence
  • Organise and maintain effective communication between the service and the wider teams across the Trust
  • Collate relevant information on behalf of the Nurse Consultant as requested for the development of business planning, palliative and end-of-life care strategy, and various project initiatives
  • Maintain the service’s spreadsheets and assist in data collection and analyses
  • Assist the Nurse Consultant to ensure all performance standards are met
  • Coordinate and participate in projects as delegated by the Nurse Consultant and actively participate in service improvement and clinical governance initiatives
