- To be responsible for daily, weekly and monthly reporting for Management team, this includes collecting data from Autotime and SAP:
- Daily Absence Report, for Opertations – AutoTime
- Daily Clocked in Report, for Operations – AutoTime
- Daily and Weekly Gap Time Report, for Operations – AutoTime
- Daily Hour Corrections/Timecard Review, for Operations, AutoTime
- Daily DOI Report, for Operations – SAP
- Daily DMM Data, for DMM
- Daily Headcount Review, for Management Team – AutoTime
- Weekly Overtime Report
- Weekly Pending and expired Weekly Overtime Report, for Finance – AutoTime
- PTO Report, for Operations – AutoTime.
- Monthly Training Forecast, for Operations – AutoTime
- Daily Actions for Management; day to day actions for Operations.
- Supervisor Review, Operations – When required, on behalf of the Manager Operations – The responsibility of signing-off Timecards for absent and Non-Scheduled Employees).
- Time Off Review, Operations - When required, on behalf of the Manager Operations – The responsibility of monitoring and actioning approvals for ‘Paid Time Off’ requests.
- Absence Email - Daily management of reporting, recording and responding to the BAS Absence Email on behalf of Operational staff & passing non-operational staff emails to the relevant manager. Capture absence on Autotime and additionally report Covid-19 related absence to HR.
- Diary Management - for Director Operations, booking face to face meeting or Teams meeting – providing daily briefing on upcoming day.
- Meetings - To organise, host and manage booking & preparing boardrooms for operational meetings, organising lunches & refreshments where appropriate. Attend to take minuets where required.
- Site Access - Organising access and passes for Operations guests or suppliers. Management of recording Visitor forms, COVID forms and working with Security.
- Expenses, Operations – Monitor and support the Director Operations with submission and approval of Expenses via the SAP Concur System on a daily basis. Additional support for the Operational Department where required.
- New Starters, AutoTime – The responsibility of Staff Profiling (Badge, Balance, Setting, Employment Profile, Assignment, Group Member, and Managers). The process of setting up a new employee on AutoTime and the deactivation process of a Staff Leaver.
- Leavers, HR - Provide Leave Reports for HR (When requested by HR, run and calculate all leave entitlement queries etc) and add termination to AutoTime.
- Occasional Actions for Management; the occasional actions for Operations and HR or Finance where required
- Company Purchasing Card - Following policies and procedures when requesting spend on behalf of the Operations department whether completing PCARD request or PR Justification forms for approval
- Cover - Providing cover for Executive Assistant, Admin Assistant and Customer Experience Specialist where required due to Annual Leave.
- You have basic proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
