This post is a fast-paced and challenging post, working alongside (and reporting to) our Senior Administrator to run our busy school office. You will be expected to show initiative and adopt an independent and flexible approach to your work. The successful candidate will deal efficiently with a wide range of enquiries from visitors, parents, pupils and staff as well as undertaking a variety of administrative tasks.
We are looking for someone who is dedicated, hard-working and who enjoys the challenges and rewards of working in a busy school office. Our students can display challenging behaviours, so a sense of humour and the ability to build a rapport with them is key.
Experience of school administration is not essential but would be an advantage. Support from the team will be given and full training will be undertaken, however clerical/administration experience is highly desirable. You will of course receive any training that the school would deem appropriate based on the expectation of the outlined duties.
The Administrator’s duties and responsibilities will include:
- Meeting, greeting and liaising with parents, pupils and visitors to the school.
- Being responsible for checking visitors into the school in line with safeguarding procedures.
- Having confidence and competence across a range of ICT systems – a good working knowledge of Scholarpack is desirable (although training will be given).
- Undertake typing and word-processing (including a good working knowledge of Microsoft Office)
- Provide administrative and organisational support to the Head Teacher
- Contribute to the overall ethos/work/aims of the school
- Establish constructive relationships and communicate with other agencies/professionals
- Provide routine clerical support e.g. photocopying, filing, emailing, complete routine forms
- Maintain manual and computerised records/management information systems.
- Ordering stationery and general stock as required by the school.
- Sort and distribute incoming and outgoing mail.
- To keep the school office and reception area as an orderly, pleasant and efficient working environment.
- Termly first aid kid checks for out of date stock and stock replenishment
- Book training courses for staff
- To produce and distribute a weekly newsletter
- Answering the telephone and retrieving messages from the answerphone service
- Monitor and record staff statutory training and distribute where necessary
- Collecting, counting and banking of cash/cheque payments when required
- Any additional duties as outlined within the vacancy specification
- Collating daily catering figures and liaising with the kitchen Checking the Parentpay payment system weekly and chasing any outstanding debts

- Be confident and able to communicate effectively in a professional and courteous manner.
- Be welcoming to all visitors and telephone callers.
- Be able to work effectively as part of a busy team, but also demonstrate initiative and strong organisational skills.
- Have a keen eye for detail, work with accuracy in an organised manner.
- Be able to multi-task and work to strict deadlines.
- Have excellent administration skills, the ability to prioritise and be flexible in their approach.
- Has the passion, energy and enthusiasm to continually develop professionally.
- Will contribute to school life as a whole.
Desirable skills:
- Have experience of working in a school office
- Experience of school systems including Scholarpack and Parentpay
