Reports to: Director of Finance and HR
Location: Dines Green, with a flexible approach to working at all WCT’s 6 Community Centers
Hours: Part Time up to 30Hrs or full time 37hrs
Salary: £20,540 FTE
Purpose of the role: To provide administrative support to the operational and governance requirements of Worcester Community Trust. You will be based in the Finance and Resource department with a focus on HR and Finance and data input support. The role will be varied and will also provide support across all aspects of the business.
PRINCIPLE TASKS
GOVERNANCE & SENIOR LEADERSHIP TEAM
- To assist the CEO to ensure the duties & responsibilities as defined by the Charity Commission and Companies House are fully met. This will include administration for our annual General Meeting, quarterly Board meetings, sub-committees and varied trustee events.
- Registering and deregistering trustees with Charity Commission and Companies House.
- Assistance with the administrative aspects of Trustee / Director recruitment, induction, and ongoing support to facilitate the effective fulfilment of their roles and responsibilities.
- Supporting the calendarising and administrative tasks for the CEO and Senior Management team
- Support with annual staff surveys
- To complete administrative tasks for tender documents and funding applications.
- Be flexible to take on roles across WCT where extra capacity is needed i.e. bookings and customer services
SUPPORT IN MANAGING RESOURCES
- Collate and prepare information to be distributed to staff.
- Updating and maintaining databases e.g. new employee information, terminations, on HR software
- Updating template letters, forms, and organising personnel files
- Taking phone calls and liaising with team members as necessary
- Development of filling systems and maximize system software programs in use.
- To support basic financial administration using either excel or finance and HR software.
- Overseeing fixed administrative projects such as mobile contract changeovers, right to work processes etc.
- Support with the co-ordination of utility contract changes
Communication and promotion
- Handle incoming and outgoing mail and other material.
- Attending meetings, take, type and distribute minutes as necessary.
- To file and communicate relevant and accurate records
- Communicate verbally and in writing to answer enquiries and provide information.
HR & HEALTH AND SAFETY
- To adhere to WCT Health and Safety policies, standards, and guidance at all times
- To support with the processing of recruitment and DBS checks
- To promote a positive image of the Trust, both through the actual work carried out and the representation of the organisation outside work.
MONITORING AND EVALUATION
- Supporting projects with data collation, analysis, and reports
- Monitor and track progress of new workers to completion of induction.
- Monitoring and contributing to the evaluation of training records.
- Providing accurate data for the purpose of standards and outcomes monitoring
These duties may vary from time to time without alteration to the general character of the post or level of responsibility entailed. It is expected therefore that the post holder will undertake any other duties commensurate with the post and allocated by the Head of HR/ CEO
