An exciting opportunity has arisen for a Team Administrator to join our friendly team working for the Tri-Borough Reablement Team. This position is part-time – 18.75 hours per week, the successful applicant will work 2 ½ days within the Monday–Friday 9am to 5pm period – days and times are negotiable. We are a small but busy team providing a reenabling approach for up to six weeks to patients discharged from an acute mental health admission at West London NHS Trust.
We are seeking an enthusiastic and bright individual who enjoys patient contact and working in a busy, friendly, multi-disciplinary department, to take up the position of Team Administration and Co-ordinator. You will work closely with the Reablement Team, inpatient professionals and Acute Social Care Lead and team, to support us in the delivery of a quality service. You will work collaboratively to provide an efficient and effective administrative service to support improvement in patient, MDT and carers experience.
A key aspect of the role is the accurate and timely input of electronic information as well as ensuring that Trust targets are achieved.

The post holder would be someone who has a passion for providing excellent customer service, is able to coordinate and prioritise work effectively whilst providing excellent support to our team. The candidate should be able to work autonomously, using initiative whilst being a team player within the Tri-Borough Reablement team and be comfortable working in a busy environment. The successful candidate will be competent in using Word, Excel, Outlook and be competent in using electronic patient information systems for which training will be provided.
Key Responsibilities
- Receive and process referrals to the relevant clinician and system(s)
- Process discharge, RA, CPA paperwork and update system(s) accordingly
- Type all letters dictated or provided by the team
- Book appointments on the manager record system
- Take minutes at team meetings and transcribe accurately
- Answer emails and relay any messages in a timely manner
- General administrative tasks such as typing, copying, scanning, printing, laminating etc

- Provide support to team members in setting up rooms for meetings
- Check and book rooms for other team members upon request
- Scanning documents for uploading to patient record system
- Receive and respond to e-mails in an appropriate manner, forwarding where necessary
- Monitor and raise purchase requisitions for step-down services
- Arranging appointments for ward review and S117 meetings
- Administer the appropriate access tools, such as door fobs, car park barriers, keys etc. as required
- Keep up to date with statutory and mandatory training
- To ensure incoming and outgoing post and parcel deliveries are dealt with efficiently on a daily basis
