We are seeking to appoint an Administrative Assistant to join our busy and friendly team located in South Cambridge.
The role requires an individual to undertake a variety of administrative and secretarial tasks, acting as PA to the UBS Operations Director and Facilities Director, as well as supporting the daily administrative requirements of a complex, multi-site biomedical services department.
Acting as point of contact for the Directors the role holder shall draft and respond to communications, assist with diary management and completion of other general administrative tasks to support. This will entail interaction with a wide variety of individuals at all levels internal and external to the University. You will manage and co-ordinate the diaries of the Directors to ensure that their time is well-ordered and assist in reviewing emails to identify prioritises. You will be required to make travel arrangements as well as process invoices.
Duties will also involve providing secretarial support to meetings, both virtual and in person, arranging bookings, setting up meeting spaces, circulating agendas and paperwork, minute taking, circulation of actions post meeting, meeting visitors and providing refreshments. Planning and organising departmental events. Acting as first point of contact for building related enquires including; managing and conducting building inductions for new users, ensuring relevant security screening is in place for each user and providing and monitoring card access management for the building.
You shall also be responsible for the smooth running of our main buildings administrative offices, meeting visitors, ensuring office supplies and stationery are available and in working order, or make arrangements for repair, e.g printer and conferencing equipment for meeting rooms.
The successful applicant will have relevant administrative experience in a role which required you to prioritise, multi-task and pay close attention to detail. You must have excellent organisation and communication skills and be able to work autonomously as well as part of a team. Applicants should be educated to A-level standard or equivalent and be numerate and literate. You will be an experienced user of Microsoft Office (Word, Excel, Access and Outlook).
