The Customer Service department is looking for a creative, organized, friendly and ambitious individual to join our team. Working as an Administrative Coordinator within the Customer Service department will provide you with the opportunity to contribute to the success of one of the organizations most dynamic departments. The purpose of this position is to provide administrative support to the Customer Service Department. The Customer Service department includes a contact center, a business center and a service center. While the Administrative Coordinator reports to the Director of Customer Service, they provide support to the entire Customer Service team. A successful candidate will have substantial experience with Microsoft Suite (Outlook, Word, Excel, PowerPoint) and strong written and verbal skills; the demonstrated ability to build and maintain effective relationships and be well organized. Some of the duties will include maintaining managers calendars, supporting budget and expense tracking, organizing employee recognition events, coordinating travel arrangements and supporting the overall success of the operation of the Customer Service organization.
- Provide administrative support to the Customer Service Department across multiple locations. Maintain strict confidentiality of information.
- Build and maintain positive working relationships with co-workers, other employees and the community using principles of good customer service; represents and promotes Toho Water Authority to the community in a friendly, helpful and professional manner.
- Manage calendars and support meetings – including scheduling, logistics, set-up, catering, minutes, technology coordination.
- Process invoices, purchase requisitions and expense reports; support budget development and monthly reconciliation.
- Organize and execute employee recognition events.
- Create, proofread and edit a variety of documents including correspondence, forms, memos and reports from drafts, notes or verbal instruction. Review documents for accuracy, completion and adherence to established procedures.
- Monitor and maintain inventories for both office supplies and uniforms.
- Coordinate travel arrangements, including preparing travel requests and reimbursement forms.
- Support Customer Service departments with function specific administrative tasks.
- Support special projects (e.g. hurricane preparedness).
- Provide back-up support to Front Desk receptionists.
- Work to continuously improve effectiveness and efficiency of assigned and related tasks.
- Other duties as assigned.
- A minimum of a high school diploma or GED issued from an approved GED Administrator.
- Minimum of two years relevant work experience.
- Must possess and maintain a valid State of Florida Class E Driver's License.
