Job description

Synopsys is looking to hire an Administrative Assistant to be responsible for the general operation of our Belfast office, UK. Duties will involve greeting visitors, answering incoming phone calls, purchasing office supplies, and taking proper inventory and supervising our office staff to ensure maximum productivity. You will also be responsible for planning and running in-house or off-site activities such as management meetings or team building events.

This role is based onsite at our office in Belfast.

Responsibilities:

  • Using a range of software, including email, spreadsheets and databases, to ensure the efficient running of the office.
  • Managing contracts and price negotiations with vendors and service providers.
  • Purchasing office and food supplies and maintaining proper stock levels.
  • Coordinating with IT department on all office equipment.
  • Greeting visitors, answering incoming phone calls and delivering world-class service to our customers and suppliers.
  • Answering general emails and postal correspondence with customers and suppliers.
  • Coordinating domestic and international travel, including flight, hotel and car rental reservations.
  • Scheduling meetings and appointments; providing reminders to staff when important events are upcoming.
  • Booking meeting rooms for executives.
  • Liaising with HR on any employee related issues, assisting with new hire set up, office orientation coordination.
  • Conduct employment equality monitoring.
  • Managing health and safety as well as fire regulations within the office.
  • Planning in-house or off-site activities such as management meetings or celebrations.

Qualifications:

  • A bachelor degree or equivalent.
  • Proficient computer skills, including Microsoft Office Suite.
  • Prior experience handling office responsibilities, experience in customer service, or related field.
  • Excellent written and verbal communication skills; proficient in English-language business writing.
  • Good interpersonal and time management skills
  • Highly organized multitasker who works well in a fast-paced environment.

Salary: £22,000.00-£28,000.00 per year
