Job description
The main duty of the role of an Administrative Assistant is to provide support within the Customer Services Team and provide assistance to the Legal Team. You will be one of the first people our clients speak to over the telephone or by email. Your role includes a variety of administrative duties which are vital to the day-to-day running of the Practice.
- Opening/Recording/scanning and saving all incoming post, and sharing on Microsoft Teams a daily log to notify all staff. We operate as a paperless office, so other than Court of Protection Orders, Data Protection Material and original client papers, all incoming mail once saved onto the system is destroyed using the confidential waste facility.
- Accessing, retrieving, and downloading files from a variety of secure share points and saving these documents accurately onto LEAP.
- Franking the outgoing post including sending out all Recorded/Special/Courier deliveries and recording these in the appropriate logs (for billing as disbursements).
- Photocopying all Tribunal bundles, and maintaining a record of all copying and postage charges for billing as disbursements).
- Reception work which will mainly involve answering the telephone and dealing with telephone enquiries, and passing on messages to appropriate staff in a timely and efficient manner.
- Setting up telephone, Zoom or Teams calls between clients and Solicitors.
- Updating and maintain our case management software (LEAP), including processing new clients, creating updated matters for existing clients and general maintaining of the database in order to keep it as accurate and up to date as possible. You will also be required to amend/create Word and Outlook templates for the Legal and Customer Services Team to use.
- Ordering office supplies (i.e. stationary and groceries), arranging the collection of confidential waste and the recycling of printer toner and ink cartridges.
- Tea & Coffee making at regular intervals through the day & generally maintaining the office in a clean state (this is not the same as cleaning the office which is done weekly by outside contractors).
- Any other duties as directed by the Practice Manager and Directors.
Somebody with administrative experience is preferred but not required. The role involves working with different applications and therefore computer experience is essential. The role would be suited for somebody who has good organisational skills and is hardworking. The suitable candidate will be a team-player with a positive attitude.
