Job description
We are nuclear professionals in everything we do:
To provide a competent support service to business areas throughout the enterprise.
Working at either the Sellafield or Risley sites, or one of the off-site Hubs, as well as working from home. The role is mobile and the successful candidate may be asked to move role according to business needs. It may be necessary to assist, cover for, or move into other GBS support roles.
Deliverables:
- Act as first point of contact to the department, dealing with issues yourself and delegating to appropriate individuals where possible.
- Maintaining good contact with both internal and external customers.
Mail Management
- Email / inbox management on behalf of department – action, organise, prioritise and delegate emails (as required).
- Organise, prioritise, delegate and distribute documents to the relevant parties within agreed timescales (e.g. distribution of meeting papers or project documents).
Collating and analysing information to produce reports
- Compile Departmental Reports – i.e. Key Performance Indicators etc.
Creating / maintaining efficient electronic / paper filing systems.
Continuous Improvement
- Deliver improvement tasks as required to enable the team to provide a more efficient and effective service.
Archiving
- Support and archive plant documentation (Onsite activity).
Diary Management
- Organise internal and external meetings, conferences and visits and ensuring the department’s central electronic diary is accurate at all times.
- Carry out diary reviews and forward plan schedules, considering any future business requirements.
Chasing and Monitoring of Actions
- Manage and monitor department actions, keeping the relevant manager updated with progress on a regular and timely basis.
Act as Meeting Secretary
- Attend meetings and take minutes, monitor actions, ensure all meeting associated documents are distributed on time.
Co-ordination of Travel Arrangements
- Arrange travel and accommodation as necessary, in line with the company travel process.
Typing
- Production of documents with confidentiality and a high degree of accuracy, speed and efficiency following company templates.
Miscellaneous
- Issue plant visitor passes / criticality belts (where required by the business – Onsite activity).
- IT Contact / Shared Drive Administrator / Security Controller.
- Manage the updates to the Building Occupancy distribution lists.
- Coordinate both the Visitor and or Resident Sign in Sheets for the nominated building, if required.
- Film Badge collation.
- Accommodation co-ordination.
- Carry out front of house/receptionist duties for offsite offices.
To thrive in the role you will have:
- Experience of working within an Administration Support role.
- Confidentiality & Integrity.
- Excellent IT skills / fully conversant with Microsoft Office Suite (including Excel, Outlook) and experience of Microsoft Teams.
- Excellent communication skills, both written and verbal.
- Excellent planning and organisational skills (with the ability to forward think/plan ahead).
- Excellent customer service skills.
- Self-motivated (able to work proactively, unsupervised and using own initiative).
- Excellent team worker.
- Ability to adapt to change.
- Experience of working within the Nuclear Industry would be beneficial, but not essential.
