Legal Administrative Assistant
About the Opportunity
We are looking for a Legal Administrative Assistant who is energetic, detail-oriented and highly organized to support our diverse group of Lawyers and Law Clerks/Paralegals. You will report to the Office Manager.
Key duties include:
- Answering telephones, including managing the phone when a lawyer is in a meeting;
- Initial Client Intake;
- Drafting, proofreading, and editing correspondence;
- Practice management: Opening and closing files, takes initiative on establishing effective filing and organization system;
- General administrative tasks such as docketing, photocopying, scanning etc.
- Taking instruction, prioritizing incoming work, following through on assignments and managing ongoing tasks;
- Ability to communicate in a professional, efficient manner with clients and external contacts as well as internally throughout the firm;
- Managing lawyers’ calendar, booking meetings & court appearance;
- Preparing covering letters, correspondence based on precedent;
- Assist in bank runs and other administrative duties as required.
Qualifications:
- Minimum of 2 years’ experience working in a customer service role;
- Must be a graduate of a recognized Legal Secretarial or Law Clerk Program from an accredited institution or equivalent experience;
- Have the ability to deal with pressure in a calm manner, as well as changing priorities and multi-tasking, and be open to constructive feedback and learning and employing new concepts and work styles;
- Ability to excel in a deadline-driven environment and willingness to work after hours (core: 9:00 a.m. to 5:00 p.m.), sometimes on short notice, in order to meet cut-off dates;
- General knowledge of court forms, court processes and procedures, and the Rules of Civil Procedure is an asset but is not required;
- Proficiency with standard MS applications (Outlook, Word, Excel, PowerPoint) and Adobe Professional;
- Strong organizational skills;
- Knowledge and experience in general legal office procedures, systems, file management and policies are required, including file opening and conflict procedures;
- Ability to work well in a team, and work independently with minimum supervision when required.
