Job description
Job Title: Administrative Assistant
Centre Administration
Provide reception cover for Romsey Mill Centre. Welcome visitors, sort and distribute mail, answer telephone calls, manage requests for information via email, and handle messages.
Support the Operations & Resources Manager with co-ordination of room use by Romsey Mill team members for programme activities and external hire by community groups at Romsey Mill Centre and covering Ross Street Community Centre and Mill Road Community Centre as necessary. Keep the bookings system up to date, including taking bookings from external hirers, sending out booking forms, requesting and recording payments.
Provide induction for hirers including instruction on Fire Procedures and ensuring that all Health & Safety and Safeguarding information is exchanged and updated.
Cover staff who normally provide operations and admin at Mill Road Community Centre and Ross Street Community Centre during periods of holiday and sickness.
Building and Facilities
Manage general building housekeeping tasks ensuring rooms are kept in good order and resources are stocked regularly.
Purchase resources as required, keeping general stationery and cleaning supply stock up-to-date.
Provide support to the Operations & Resources Manager in the regular Health and Safety checks, including acting as Fire Marshall when required and carrying out the regular fire system checks.
Organise First Aid resources and carry out checks as appropriate.
Support the Operations & Resources Manager with service visits by contractors and organising maintenance and general repairs.
Fundraising and Marketing support
Support the Operations & Resources Manager in producing publicity to increase use of Romsey Mill Centre and maximise income, including providing up to date content for social media channels and websites.
Be a face-to-face contact with the public, representing Romsey Mill to individuals and organisations.
Provide some administrative assistance to the Fundraising & Communications team including recording donations, writing thank-you letters and updating database.
Financial Support
Day-to-day handling of petty cash, giving advances or reimbursement of expenses to staff.
Reconciliation of Charity Shop income, including banking, as needed.

Salary: £11.06-£11.68 per hour
