Administration Assistant - Theatre department (no theatre experience required)
Salary from £20,444 depending on experience
37.5 hours per week, permanent contract
The Cherwell Hospital, located in Banbury, Oxfordshire was purpose built in 2006 and has been designed to combine an exceptional standard of patient accommodation with the technical equipment and facilities that modern medicine demands. The Hospital has a 40-bed inpatient unit, consisting of single or twin rooms and a day case facility complimented by a dedicated Day Case Surgery unit. The Hospital is equipped to undertake a large range of procedures, treatments and investigations. We have three fully equipped theatres, with a five-bedded recovery unit. Other outpatient facilities include physiotherapy, pharmacy, radiology, ultrasound and MRI.
The role
We are now inviting applications for the position of Administrator. This is a permanent full-time contract (37.5 hours per week) and is based at The Cherwell in Banbury, Oxfordshire. Reporting to the Theatre Manager the successful candidate will be able to provide a high standard of support to a busy theatre department. The role will be varied and challenging and flexibility is essential.
Responsibilities
  • Administrative support to the Theatre Manager and team to optimise scheduling and proactively manage operating theatre lists.
  • Dealing with incoming calls from internal departments.
  • Participate in devising rotas / off duty / arranging agency shifts and recording on Health roster.
  • Generating Purchase Orders for loan kits, prosthesis and/or consumables and dealing with invoice queries
  • Data input of charges on MAXIMS
  • Responsible for data input of National Joint Registry forms
  • Responsible for data input of prosthesis onto Implant Register
  • Co-ordination and distribution of weekly Hospital On Call Rota
  • Organisation of meeting, minute taking and administration of actions
  • Filing and coordinating medical records as necessary
  • Capturing data for CQUINs and other cost coding schedules
  • Ensuring communications with the theatre team are timely and completed in detail.
What you will bring with you
  • Good general education to GCSE standard or equivalent
  • Proficient IT skills, e.g. Patient Administration System, MS Office or equivalent
  • Previous experience within an administrative position
  • Effective communication skills and proven ability to work effectively in a team environment and independently as required
  • Excellent written and verbal communication skills
  • Flexibility and adaptability
  • High level of accuracy and attention to detail
  • Well organised and ability to plan workload and respond to unplanned events
  • Excellent telephone manner
  • Previous experience or work in a healthcare environment (desirable)
  • Friendly and approachable manner
  • Smart appearance
