The Planet Bee Foundation is seeking a dedicated and motivated individual to join our team as an Administrative Coordinator.

About Planet Bee Foundation:

Planet Bee Foundation is a non-profit organization dedicated to educating and inspiring communities about the importance of pollinators and their role in sustaining our ecosystem. We work with schools, community organizations, and businesses to implement educational programs, create pollinator habitats, and promote environmental stewardship.

Position Overview:

As the Administrative Coordinator, you will play a vital role in supporting the daily operations and administrative functions of the Planet Bee Foundation. You will work closely with the leadership team and other staff members to ensure smooth operations, effective communication, and efficient coordination of activities.

Compensation:

The Salary Range is $25-$27 an hour depending on experience. This position offers additional monthly compensation to offset the costs of insurance and other self-selected benefits, ensuring that employees receive comprehensive coverage and support.

Planet Bee offers 11 paid holidays per year, 2 weeks of PTO per year, end of the year week off between Christmas and New Years Day plus a personal birthday holiday.

Responsibilities:

  • Communication management: Manage the organization's email accounts, email correspondence, manage phone calls, and schedule appointments or meetings.
  • Calendar management: Maintain and update calendars for individuals or teams, ensuring that appointments, deadlines, and important events are properly organized.
  • Virtual meeting coordination: Assist in scheduling and organizing virtual meetings and lessons, including setting up video conference calls, sending out invitations, and managing any necessary technology or software.
  • Administrative support: Provide general administrative support, such as managing expenses, processing invoices, and coordinating with vendors or suppliers.
  • Data entry and organization: Enter data into spreadsheets, databases, or other systems and maintain data accuracy.
  • Task and project management: Assist in tracking tasks, deadlines, and project milestones, ensuring that projects stay on track and deadlines are met.
  • Marketing support: Assist in the development and implementation of marketing strategies and campaigns, such as updating website content , scheduling, blogs, and newsletters.

Qualifications:

  • Bachelor's degree preferred. Associate's Degree required.
  • Demonstrated passion for and commitment to the nonprofit sector preferred.
  • Two years’ project management or administrative support experience.
  • Ability to handle multiple tasks while being flexible and adapting to changing priorities.
  • Experience working in a virtual position
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Experience with database management, Salesforce, Google Drive, and Asana.
  • Detail-oriented with a high level of accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Knowledge of or experience in digital communication, including but not limited to online learning, social media marketing, and point-of-sale systems.
  • Passion for environmental conservation and a commitment to Planet Bee Foundation's mission.

Physical & Travel Requirements:

  • Valid CA Driver’s License
  • Ability to work occasional nights and weekends to support events/special projects.
  • Able to travel throughout the San Francisco Bay Area.
  • In addition to basic computer desk work, the employee is required to stand, walk, reach above shoulders, and climb or balance. The employee may occasionally lift and/or move up to 25 lbs.
