SUMMARY
Housing for Health (HFH) is a program office within Health Services Administration, a division under the Los Angeles County Department of Health Services (DHS). HFH supports the Los Angeles County Homeless Initiative’s recommendations and efforts to address and combat homelessness in the communities within Los Angeles County. Our organization follows a hybrid work structure where employees work both remotely and from the office, as needed.
The HFH Interim Housing Program serves individuals with complex health and/or behavioral health conditions who need a higher level of support services than is available in most shelter settings. The program offers temporary housing in a stable environment to assist clients in stabilizing, increasing independence and completing permanent housing goals.
Housing for Health was recently awarded funding from the state to support with addressing the unique needs of people experiencing homelessness in the Skid Row region of Los Angeles. Through collaborations with other county departments and entities that include the Department of Mental Health (DMH), Los Angeles Homeless Services Authority (LAHSA), and Homeless Initiative, HFH will implement a series of strategies that include interim and permanent housing opportunities, training and technical assistance, and enhanced mental/behavioral health services for this population.
The Administrative Assistant I will support members of the Interim Housing team with a
variety of administrative and specialized clerical tasks that include but are not limited to: referral facilitation, engagement with referral partners, and contracted providers, light invoicing support, and data entry and tracking. They will work across multiple members of the Interim Housing team on tasks that advance the service provision for participants in the program. Ideal candidates will be organized, capable of reviewing and prioritizing multiple tasks at a time, and flexible to meet the changing needs and demands of this work.
ESSENTIAL FUNCTIONS
- Coordinates meetings between internal and external stakeholders’ engagement in Interim Housing operations.
- Completes data entry, tracking, and supports reconciliation of interim housing program placement referrals and transfers.
- Under guidance of analyst level staff, supports in the collection, tracking, and/or reconciliation of invoicing documents from contracted providers.
- Supports Interim Housing staff in the compiling of and completion of reports on project deliverable across multiple program areas.
- Prepares meeting agendas and notes as needed.
- Liaises with internal HFH staff in the ordering and inventorying of program supplies.
- Leads in the development and dissemination of ongoing and ad hoc communications on program and project updates to applicable internal and external stakeholders that may include presentations, memorandums, reports, or other documents.
- Assists Interim Housing staff on specialized projects and tasks that may involve preliminary budget and data review, communications with referral and/or contracted providers, and presentation/training development.
- Makes appointments and arranges conferences, trainings, and meetings for HFH personnel as applicable; coordinates and schedules applicable internal and external personnel (e.g., HFH personnel and/or HFH community/contractor agencies) with respect to HFH trainings, meetings, events; maintains training calendars, vacation calendars, etc. as needed
- Performs other clerical, general administrative/technical assistance duties as assigned.
JOB QUALIFICATIONS
Education/Experience
A minimum of one (1) years’ experience, within the last five (5) years, in either (1) a staff capacity analyzing and making recommendations for the solution of problems of organization, procedure, program, budget or personnel, or (2) a highly responsible secretarial capacity, or (3) a responsible supervisory clerical capacity.
Certificates/Licenses/Clearances
- Successful clearing through the Live Scan process with the County of Los Angeles.
- A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.
Other Skills, Knowledge, and Abilities
- Experience in assisting and providing services to vulnerable populations, e.g., people who are experiencing homelessness or at risk of being homeless
- Proficient skill set in using an array of Microsoft Office Suite software programs such as Word, Excel, PowerPoint, Access, Adobe Reader, One Note, Outlook, Publisher, Skype, Outlook, etc.
- Able to multi-task and set workload priorities for time sensitive projects/tasks.
- Ability to problem solve and make recommendations to processes, policies, etc.
- Able to communicate with all levels of personnel, e.g., written, verbal, in a professional and concise/clear manner; ability to work within a project team and/or independently.
- Able to work in a very diverse environment and with diverse individuals.
- Ability to be flexible in meeting changing work tasks and timelines; must be dependable and reliable.
