Job Description
Purpose:
Under the direction of the Head Nurse or designee and/or Coordinating Manager, provides clerical duties/functions on the Inpatient Units to maintain appropriate unit records and serve as unit receptionist.
Specific Duties and Responsibitilies:
The Clerical Associate LV III is charged with and responsible for:
Providing continuous telephone coverage, answering incoming calls, and delivering written/oral messages promptly and accurately. Placing calls when requested, as well as placing and answering page requests for MDs/other staff on the unit.
Possessing a thorough knowledge of hospital and clerical policies and procedures related to unit functioning, as well as a basic understanding of medical/nursing language and the technical terms and symbols used in transcribing medical and nursing orders.
Assisting other disciplines/visitors in locating patients and Psychiatric inpatient staff and notifying the nurse in charge of the arrival of lawyers, outside MDs, police, etc.
Obtaining/returning Central Supply equipment/supplies no longer in use to the appropriate areas; keeping the nurses' station neat; updating bulletin boards; replenishing stationery supplies; and maintaining resource manuals. Notifying the Head Nurse of repairs needed and preparing requisition forms (Sprocket), and maintaining the work order log.
Notifying proper departments of patient admissions, transfers, expirations, and discharges, and completing required forms. Arranging transportation and return for patients going to other areas.
Posting unit conferences/schedules as approved by the Head Nurse and distributing and forwarding mail, flowers, and packages.
Notifying dietary of changes and/or errors in diet deliveries as directed by the RN.
Assisting in training other personnel in clerical duties.
Picking up nursing schedules, ensuring the schedule is maintained up-to-date (e.g., sick calls, late calls, etc.), returning the schedule when complete, and dropping off the previous week's time sheets and obtaining new time sheets.
Assisting in processing the admission and discharge of patients in the unit; assisting staff with the location of charts (current and old), chart racks, x-rays, etc.; maintaining telephone coverage on the Nursing Station by answering the telephone and delivering written/oral messages promptly and accurately, placing and answering page requests for MDs/other personnel on the unit, and assisting with informing patients of groups, medications, etc. through the PA system.
Assembling and breaking down discharged patients' charts and taking them to medical records.
Scheduling medical appointments for various procedures and consults during the patient stay as requested by the internist.
Scheduling medical follow-up appointments and faxing discharge summaries within 24 hours of D/C to the outpatient psychiatrist and outpatient MD, verified by a monthly audit.
Checking legal status, updating the daily census, and reminding psychiatrists about the 48-hour confirmation status.
Obtaining and distributing paychecks.
Performing other related tasks at the request of nursing leadership.
Minimum Qualifications
1. A four-year high school diploma or its educational equivalent approved by a State’s Department
of Education or a recognized accrediting organization; and
2. One Year of full-time satisfactory clerical experience.
Skills Requirement:
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per
minute.
