Responsibilities:
The Administrative Assistant is the face of the CSSH Office of the Dean. The Administrative Assistant supports the daily operations of the CSSH Office of the Dean by coordinating with student workers and assisting with key projects, communications, and administrative operations. The Administrative Assistant oversees the reception area, greeting and directing all visitors, maintaining office supplies, coordinating with building management, scheduling conference rooms and set up, managing a team of student workers, and other related projects. The Administrative Assistant provides administrative support for five Associate Deans, including calendar management, meeting scheduling, catering, material prep for meetings, and administrative tasks as assigned. The Administrative Assistant serves as back-up support for the Dean’s calendar and executive support in the absence of the Executive Assistant.
The Administrative Assistant hires and manages a team of student workers. They onboard, train, and supervise the student workers; overseeing the delegation of appropriate tasks and review of all work. The Administrative Assistant will send e-mail correspondence on behalf of the Office of the Dean using Constant Contact and update the College website as needed. The Administrative Assistant will take on special projects and tasks as needed to support the Office of the Dean. The Administrative Assistant will develop and maintain a manual for office management operations and update the list of relevant contacts regularly. The Administrative Assistant will continually seek ways to streamline management of day-to-day tasks using support systems and technology. The Administrative Assistant will assist with the planning of events and coordination of activities and catering needs to hold workshops, conferences, meetings, and seminars.
Qualifications:
Knowledge of office administration practices and processes. Skills required include ability to plan, organize and manage multiple priorities; time management; attention to detail, interpersonal and written communication skills. Ability to carry out special assignments by completing activities, monitoring progress, and ensuring work is completed accurately and on time. Must be able to work independently while also providing excellent customer service Previous experience with Outlook preferred, with flexibility to adapt to new technology and various computer/software applications. Skills and knowledge for this position are typically acquired through the completion of an Associate’s degree or equivalent required, Bachelor’s degree preferred and 1-3 years’ relevant experience in an office environment.
