Job Title: School Administrator 2
Duties & Responsibilities
Purpose of the job - To positively and actively contribute to whole school improvement through effective leadership and management of the administrative provisions within the school.
- To be responsible for the day-to-day smooth running of the school office, including supervision and instruction of the school receptionist.
- To organise, maintain and monitor school admissions and personnel systems ensuring effective delivery of service to school.
- To provide administrative support to the SLT and SBM.
Administrative Duties:
General - Take a lead role in ensuring that the school is on track with all administrative tasks internally and in relation to the Trust/LA.
- Be responsible for the effective operation of administrative procedures.
- Manage administrative procedures including word-processing and IT based tasks to produce and respond to correspondence.
- Be responsible for completion and submission of complex forms, returns etc., including those to outside agencies.
- Be responsible for the submission of relevant information to SLT, the Trust and outside agencies e.g. DfE.
- Support with the production of Pupil CENSUS.
- Support SLT and SBM with administrative tasks.
- Support the front desk.
Financial - Undertake general financial administration including inputting purchases into
Administration budget control sheets, and processing orders / invoices using relevant software and purchase order systems.
-Assist with and undertake delegated tasks in line with financial administration procedures including setting up payments, preparing invoices for sign off, chase outstanding debts, processing orders & checking against requisition forms & submitting expense claims and managing petty cash.
-Oversee running of Parent Pay/Cunninghams biometric system with guidance from designated Senior Leader.
-Carry out cash reconciliation (lunches, clubs, bus service etc) with guidance from
Trust staff.
-Organise for banking of all school income including school fund. Ensure all income is accurately accounted for and receipts given for cash.
-Monitor/audit the use of resources and maintain stockroom.
-Oversee sale of any school items (replacements) e.g. passport, planner, ties, locker keys
-Check pupil premium status & update records
Reception -Maintain a welcoming environment and arrange hospitality for visitors ensuring that reception area is maintained and all equipment is appropriately stored.
-Ensure face to face/electronic enquiries are responded to efficiently and/or escalated to relevant staff where necessary.
-Assist with incoming/outgoing mailing and distribution of various documents and communication, managing confidential and sensitive information with integrity and professionalism
-Maintain office meeting calendar and manage room booking diary.
-Respond to the immediate welfare needs of pupils, as and when required.

Deliveries - To ensure that deliveries are signed in correctly and delivered to the appropriate location in a timely manner.
Enquiries - To communicate with parents via reception, phone calls and the enquiries inbox.
Responsibilities - Comply and assist with the development of policies and procedures relating to attendance, absence, health, safety and security, confidentiality, and data protection, reporting all concerns to an appropriate person.
- Be aware of and support difference and ensure equal opportunities for all.
- Contribute to the development and implementation of the overall ethos/work/aims of the school.
- Develop constructive relationships and communicate with other agencies and professionals.
- Participate in training and other learning activities and performance development as required.
- Recognise own strengths and areas of expertise and use these to advise and support others.
- Contribute to the safeguarding and promotion of the welfare and personal care of the children and young people with regard to Every Child Matters agenda and Child Protection Procedures and ensuring that confidentiality is adhered at all times.
- Contribute to the overall aims and ethos of the school.
Other duties - To support the examination process by supervising, supporting and invigilating examinations.
- To undertake such other duties which may reasonably be regarded as within the nature of the duties/responsibilities/grade of the post

Job Types: Full-time, Part-time
Part-time hours: 40 per week
Salary: £24,832.00-£26,290.00 per year
