The Niagara-on-the-Lake (NOTL) Museum is seeking a versatile and dynamic Collections Management Database Coordinator who will help oversee and support our transition to two new database systems at the NOTL Museum. The coordinator will perform key metadata improvements and upgrades to our collections database, which will allow us to transition to a cloud-based system so that we may have continued access to the collection. The coordinator will also assist in our transition to new fundraising/donor software, which will help us cultivate relationships with donors and attract more supporters.
The ideal candidate will be skilled in museum collections management database administration and knowledgeable about standard museum registration and collections management procedures.
JOB DESCRIPTION
Job Title: Museum Database Coordinator
Details: 35-week contract, 35 hours per week.
Salary: $18.00/ hour
Work Week: 10am – 5pm; Sunday- Thursday
Start Date: July 9, 2023
Reporting Relationship:The Museum Database Coordinator reports directly to the Assistant Curator & Education Programmer and the Director of Finance and Marketing and indirectly to the Managing Director of the Niagara-on-the-Lake Museum.
As the Collections Management Database Coordinator, your responsibilities will include, but will not be limited to:
· Updating our existing catalogue records by correcting metadata issues that have been flagged.
· Developing institutional guidelines and metadata standards, in conjunction with input from Curatorial staff, for future collection record creation.
· Liaise with Canada Helps and PastPerfect to help oversee the transition of our information from one database to another.
· Facilitate the integration of campaign donor records from PastPerfect 5 into the Canada Helps Online Database.
· Facilitate the integration of all digital records and assets in PastPerfect 5 to PastPerfect Online.
· Train staff and/or volunteers on the new database systems.
· Create reports pertaining to the project.
· Perform weekly backups of the database.
Secondary Responsibilities:
- Customer service and front desk duties when and if necessary.
- Experience with POS systems an asset.
Working Conditions
- Will be required to work weekends.
- This is largely a sedentary job.
Knowledge and Skills Required:
- Knowledgeable about standard museum registration and collections management procedures.
- Experience working with museum collections management software, particularly with PastPerfect.
- Experience with a customer relationship management (CRM) database or similar fundraising software an asset
- Project Management skills are an asset.
- Excellent time-management skills.
- Excellent critical thinking and problem-solving skills.
- Strong organization and time management skills.
- Able to work independently and as a team.
- Able to maintain confidentiality and be responsible for important and sensitive information.
- Ability to work on multiple tasks simultaneously and balance priority and time demands.
- Proficient with Microsoft Office and/or Microsoft 365
- Can effectively communicate technical information to non-technical personnel in an easy-to-understand way.
Qualifications
- Bachelor’s degree in Art History, Museum Studies, Library Sciences or a related field;
- A minimum of 1+ year related experience working in registration, collections management or curatorial department in a museum, gallery, or library setting.
- Minimum of 1-year experience working with museum collections management software.
