Newmedica is one of the leading providers of NHS ophthalmology services in England, providing outpatients appointments, diagnostic testing and eye surgery. We interact with over 225,000 patients annually, from outpatient appointments to surgery to correct cataracts and helping to manage other eye conditions. The Referrals Administrator role sits within the Services Support Group (SSG) within Central Operations. SSG comprises Customer Support, Patient Referrals and Project Implementations. Central Operations is also the home for I.T. and Logistics & Procurement. It’s a broad remit and a fast-paced team.
Overview of the role
The Referrals Administrator is the first point of contact for all patient referrals. These will include direct referrals from places like high street opticians, via bulk transfer or through our patient referral system. The role is responsible for the resolution of any issues through the application of superior administration and process knowledge.
The Referrals Administrator will be expected to proactively monitor referral KPI’s to help the business achieve its targets and can make a real contribution to the performance of the services.
The role is home based but occasional travel to monthly team meetings and ad-hoc company events will be required. The role is Monday to Friday with some weekend working is required on a rota basis (approximately 1 weekend in 5)
So what will I be doing?
This is a process driven administrative role so we’re looking for people who thrive on routine and rhythm in their working life.
You’ll be processing all direct and email patient referrals within 24 hours of receipt and entering these onto patient administrative systems. You’ll proactively review the referral information and chase any missing information from both direct and eRS referrals with GP and Opticians.
You’ll also be processing phone calls from external Opticians chasing appointments on patient’s behalf and also chasing ad hoc requests from clinics e.g.; referrals rejected in error that need re-submitting.
As well as processing referrals for NHS patients you’ll be taking enquiries from private patients and booking or forwarding to the Newmedica services where appropriate.
You'll be answering and logging incoming calls/emails from the services on the ticketing system and resolving within the designated SLA’s and you’ll manage the Newmedica website “Contact Us” enquiries inbox; processing or sending enquiries to the appropriate parties.
What experience do I need?
We’re looking for a competent and experienced Administrator – someone with strong IT and system skills as you'll be working across multiple systems, databases and MS Office suite: Outlook, Teams, Word and Excel.
- Previous background in a healthcare industry is desirable but not essential.
- Exceptional attention to detail in your work.
- Background in a high-volume administrative position with computer-based work.
- Strong verbal and written skills.
- Background in dealing with queries over the phone in a professional and efficient manner.
- Previous use of the system eRS is desirable but not essential.
- A customer first approach to ensure our patients and clinicals services always receive excellent customer service.
