McCloy Consulting is an engineering and scientific practice specialising in water and environmental engineering, with a head office in Newtownabbey and branches in Dublin, London and L'Derry.
The role:
We are seeking applications to fill the role of Administrative Assistant to join our administration team.
The role is permanent and will be located at our attractive head office at Mossley Mill, Newtownabbey, Northern Ireland, which is convenient to local rail services, bus routes, and cycle greenway. We operate a flexible hybrid model of working which will have some days based in the Mossley Mill office and some days working from home.
The role shall require a minimum of 25 hrs per week. We recognise that to recruit quality candidates there may be a need for flexible working patterns, which may be available dependent on the candidate and their needs. Working schedule within our core operating hours 9am - 4pm Mon-Fri will be agreed with the successful candidate.
Working primarily at the direction of the Senior Administrator and management team, but with delegated roles from technical staff, you will be required to undertake some, or all, of the following tasks:
Duties and Responsibilities:
- General admin/office duties, answering phone, filing, compiling and formatting reports, printing and binding, maintaining office supplies, etc.
- Assisting management and technical staff with the day-to-day running of the office; Project administration, logging enquiries, creating project folders, ensuring contracts are in place and data base information is maintained and accurate.
- Assisting in maintaining ISO Quality, Environment, Health and Safety policy documentation, assisting in preparation for external auditing.
- Arranging meetings, staff briefings, writing and distributing meeting minutes, etc.
The candidate:
The successful individual will possess the following:
Essential
- Qualification to A-level or equivalent.
- A minimum of 1 years’ experience working in an office or administrative environment.
- Highly diligent and strong attention to detail
- Highly methodical and organised. Can follow protocol and procedures, and implement updates.
- Excellent organisational, time management and interpersonal skills and experience working as part of a team.
- Can manage high volume of daily tasks from a range of sources.
- Motivated to see tasks through to successful completion, follows up on all ‘loose ends’ or missing information.
- Strong basic computer skills (MS Office, PDF editors, Adobe, Foxit) including formatting tools in MS Word
- Excellent spoken and written English
- Polite, courteous and professional.
- Answering phones
- Demonstrates and promotes benefits of consistent adherence to policies and procedures
In shortlisting, we will give preference to candidates who can demonstrate additional desirable skills:
Desirable
- Previous experience of working in an office environment (PA/ office administration/ accounts).
- Familiarity with administration of ISO Health and Safety, Environment, and Quality management systems.
- Familiarity / experience administering Microsoft Sharepoint environment.
