Job description
This position is for an efficient administrative assistant who loves working in a fast paced environment. The successful candidate will be responsible for creating and maintaining a smooth workflow, using professional language in all written correspondence and responding to administrative requests in a timely manner. We're looking for someone who has experience with word processing, scheduling, working with databases, and is conversational in Spanish.
Responsibilities:
- Answer customer calls.
- Answer customer questions.
- Direct customer calls.
- Organise paperwork for supervisor's signature.
- Prepare correspondence for signature by supervisor.
- Assisting with preparation of robust and timely financial information for the trading activities of the group, including analysis of company expenditure, cost centres and branches
- Transactional processing duties including verifying and maintaining all necessary records for invoices, expenses, payments and transactions
- Preparing, reviewing and processing journals (including month-end journals, cost allocations), calculate and justify relevant accruals, prepayments.
- Review and processing of utility related invoices and analysis thereon of expenditure
- Verifying expense claims submitted through the company expenses system and producing reporting on expenses with further analysis to produce insight
- Involvement in preparing balance sheet reconciliations, reconciling bank balances and other financial controls to ensure robust and reliable financial information
