We are looking for a Casework Administrator to handle enquiries from existing clients and provide administrative and secretarial support to caseworkers in connection with casework and other services provided to clients. To provide assistance and support to caseworkers in case management and liaise with clients and other bodies on instruction from caseworkers.
Main Tasks
- Provide full secretarial and administrative support including preparing standard letters, maintaining files, audio and copy typing as required, photocopying, scanning, e-mailing, making appointments, arranging interpreters, maintaining diaries and dealing with post.
- Assist line manager and other colleagues with maintaining records in accordance with the IAS Office Manual, including administrative tasks relating both to fee and Legal Aid Agency funded cases, and preparing whole files for transfer to new representatives or for audit purposes.
- Undertake reception duties when required, answering enquiries from new and existing clients, dealing with callers in caseworkers’ absence making sure a record is made of the query and details of the client who has called.
- Ensure that information on cases is kept up to date using manual or computerised systems as appropriate, such as, but not limited to, entering and monitoring Key Dates and drafting and recording attendance notes and time records.
- Assist line manager and other colleagues with generating case lists for the purposes of identifying billing and inactive matters for action.
- Liaise with other offices of IAS in connection with the transfer of cases/clients, appointments, and other matters.
- Attend training events and conferences as required.
- Undertake any other duties as may reasonably be required by managers.
- An ability and willingness to travel between offices if required.
Essential Criteria:
- A level education or qualification in secretarial/administrative services
- Typing skills; minimum of 50 wpm.
- Ability to work under pressure and meet deadlines.
- Ability to work on own initiative and prioritise own work.
- An understanding and sensitivity to other cultures and commitment to Equal Opportunities.
- Fair level of numeracy
- Minimum of one year’s experience working in a similar post.
- Experience of using Word, Excel, Outlook and email.
- Proven communication skills, both verbal and written.
- Experience of advice/legal services.
