Job title: Administrative Assistant

Reporting to: IMP Executive Support
Location: Solihull (J4, M42)
Hours of work: 37.5 hours a week
Salary band: Starting at £25,000

Role Summary
This is an exciting opportunity to join the administration team that support our MD, Company Secretary, and wider director management team here at IM Properties. IM Properties are a dynamic, friendly, world-class company based at our £30m state of the art head office in Solihull. We’re looking for an enthusiastic and organised Administrative Assistant to provide a high level of admin support to the business. The role will report to IMP’s Executive Assistant and will encompass a variety of tasks to contribute to the day-to-day smooth running of the business and provide specific assistance to the Company Secretary. We are looking for a team player with a positive, proactive approach.
Key Responsibilities
· Assistance in scheduling, maintaining, and updating multiple calendars and appointments.
· Booking meeting rooms, registering & greeting external visitors, arranging hospitality.
· Minute taking.
· Clerical duties, managing email, fielding calls and correspondence, paper and electronic filing systems, including archiving and shredding.
· Ownership of the KYC and AML document packs and related processes to support the company secretary (training will be provided).
· Administration in support of the Company Secretary.
· Legal and financial document execution.
· Preparation and maintenance of accurate company records.
· Preparation of board level documentation.
· Administrating expenses and mileage.
· Maintaining office supplies.
· Covering the office at any time when other administration team members are out of the office.
Minimum Requirements:
· Previous administration or PA experience.
· Proficient in Microsoft Office – including Teams; mail merge, knowledge of macro preferred.
- Excellent typing and IT skills.
· Experience in minute taking.
· A*-C or 5-9 or above GCSE English.
Competencies/Skills required:
· Experience with “Diligent Entities/Blueprint” Software Package desired but not essential as training will be provided.
· Accuracy and attention to detail.
· A proactive and positive approach.
· Good communication skills.
· Discretion and a clear demonstration of confidentiality at all times.
· The ability to use own initiative but also know when matters need to be referred.
· Time management skills and ability to prioritise workload.
· Team player.
