You will be working within the PA, Facilities team in supporting the running of our Southend office.
We will be holding interviews immediately and ideally looking for the successful candidate to start work as soon as possible.
What will I do in the role?
· Assist in the day to day running of the office keeping it organised and tidy.
· Running daily errands e.g. Restocking the kitchen, getting supplies, managing security fobs, placing orders on the online systems i.e. Amazon.
· Carrying out admin tasks, such as responding to emails, updating records, note taking, answering calls and following up anything outstanding.
· Diary management - managing bookings / invites, as well as desk and parking booking’s.
· Building relationships with staff at all levels as well as suppliers. You will be working closely with the Directors and Heads of Departments.
· Dealing with incoming post and deliveries
· Supporting facilities in reporting minor issues and carrying out checks
· Welcoming visitors and ensuring they have signed in, making drinks
· Any other ad-hoc duties as required
What do I need?
· Good verbal and written communication skills
· Good organisational skills
· Motivated and able to use own initiative
· Computer literate i.e. MS Office (Word, Excel, Outlook)
· Understand the importance of confidentiality
· Ability to remain calm when challenges arise remaining friendly and approachable
· Previous experience in administrational, PA or facilities role - beneficial
· Note taking – beneficial
· Minimum of 5 GCSEs at grade 4-9(C- A*) or equivalent to include Mathematics and English
