Job description
Hollins University in Roanoke, Virginia is seeking qualified candidates for three (3) full-time administrative assistants. These positions serve as the primary support person for the assigned area to help students, faculty, and staff.
These areas currently have openings:
· Dance Department – reports to the Chair of the Dance Department and supervises approximately four work-study students. In addition to the general responsibilities outlined below, this position also oversees travel and hotel logistics and helps with faculty contracts.
· Diversity, Equity, & Inclusion and Dean of Students Offices – dually reports to the Executive Director of Diversity, Equity, & Inclusion and the Dean of Students and supervises approximately two work-study students.
· Student Success Office – reports to the Associate Vice President for Student Success and supervises one work-study student.
About the Roles
The assistants are the primary contact for associated departments/offices including foot traffic, phone calls, and general e-mails. They prepare electronic and print communications, maintain department/office and budget records, assist with appointments/schedules, coordinate meetings and minutes, manage office spaces, take care of equipment and supply needs, help with special events, and handle internal and external mail. Additionally, the assistants supervise student employees during the academic year including scheduling, training, and evaluating.
Position Qualifications
Successful applicants must have the following qualifications and experience:
· High school diploma or equivalent
· Minimum of two years of relevant experience
· Proficiency with Microsoft Office and multifunction printers
· Excellent written and verbal communication, interpersonal, and customer service skills
· Excellent organizational, time management, multitasking, detail, and accuracy skills
· Abilities to work in a fast-paced environment with constant interruptions and fluctuating priorities and to meet deadlines
· Abilities to work independently, as a member of a team, and without supervision at times
· Ability to work effectively with all university constituencies including students and their families, faculty, staff, alumnae/i, and campus guests
· Abilities to manage confidential and sensitive information and maintain discretion
· Ability and willingness to occasionally work outside normal business hours in support of department/office activities
Preferred candidates will have the following:
· Two years of college
· Previous experience in an administrative support role in higher education
· Previous experience working in or managing a professional office setting
· Ellucian Banner or equivalent database experience
· Knowledge of and experience with Hollins University
