The Opportunity:
HKA have an exciting opportunity for an experienced Administration Assistant to join our flagship London office. Reporting to and supporting our Senior Office Manager our ideal candidate will be a polished, high calibre, articulate and energetic individual with strong well rounded administrative experience ideally within a professional services environment.
You will produce consistent high quality work, possess strong communications skills and the ability to multitask with excellent attention to detail. You will have a strong customer service mindset with the ability to make colleagues and guests feel welcome and comfortable by building a professional and friendly rapport.
You will have a passion for service excellence, ensuring anyone that visits the London office has a positive, warm and productive experience.
The role of Administration Assistant is ideally full-time, however we would consider three days per week (Tuesday-Thursday) part-time, although with some flexibility, and the role would be entirely office based.
Role and Responsibilities:
- Full administrative support to the Senior Office Manager
- Setting up meeting rooms and supporting the smooth operation of meetings and client events including all logistics, providing refreshments and breakfast/lunches for meetings, and making suitable room arrangements (including ensuring all necessary IT equipment is functioning and set up ahead of time).
- Support in the set-up and delivery of client events, working closely with the Marketing and Business Development team.
- Assisting in the scheduling of appointments and liaising with clients both face to face and over the telephone.
- Handling all post, ordering stationery and other office supplies
- Liaising with external maintenance bodies for example facilities providers as and when needed
- Ensuring the office/meeting rooms and kitchen areas are kept tidy at all times
- Undertaking and supporting wider administrative tasks as and when needed to ensure that both the office and our service line teams are fully supported, and to maintain our record of high standards.
Skills and Experience:
Ideally you will possess the following skills and experience:
- Strong, well rounded experience in an Administration function.
- Excellent attention to detail with the ability to forward plan and work efficiently.
- Friendly, approachable with the ability to build and develop rapport and relationships.
- First class client service skills.
- Excellent Microsoft office skills particularly in Outlook, Word, Excel and PowerPoint.
- Must have exceptional organisational and prioritising skills as well as extremely confident with dealing with all levels of individual.
- Strong logistical experience, the ability to manage multiple tasks at once whilst still providing the same consistent service every time.
