Administrative Assistant
Fraunhofer Centre for Applied Photonics
Fraunhofer UK Research Ltd operates Fraunhofer research centres in, and for the economic benefit of, the UK, providing professional, scientific and engineering R and D services for industry. An opportunity has arisen for an enthusiastic Administrative Assistant to offer broad administrative and reception based support to the team at the Centre for Applied Photonics based at the Technology and Innovation Centre in Glasgow.
The candidate must be self-motivated, have excellent attention to detail and a hands on approach.
The role involves:
· First point of contact for telephone calls and office emails; responding to general inquires and greeting all incoming visitors
· Manage logistics for internal and external meetings, including room booking and preparation, organising catering and providing refreshments for staff and clients
· Coordinate outgoing and incoming post / courier packages
· Raising Purchase Orders, scanning and inputting of purchase invoices and staff expense claims into the financial system
· Providing support to staff including assisting with the preparation of documents, scanning, printing, binding, information research and any other ad hoc support
· General office upkeep; ordering supplies, maintenance arrangements
· Providing assistance to staff with booking of travel and accommodation
Qualifications:
· Working knowledge of MS Office (Excel, Word, Outlook)
· Ability to plan and prioritise workloads and meet often conflicting deadlines
· Good written and spoken communication skills with a high level of attention to detail
· The ability to multi-task and handle a variety of situations, adapting to a changing workload and new challenges
· Enjoys working in a team environment
Benefits
The salary for this role is £21,000 - £23,500 per annum.

This is a permanent, full-time role (Monday to Friday, 9am to 5pm). This role will be based in our Glasgow office, however, there will be an opportunity to adopt hybrid working, under an agreed pattern from both the office and at home each week.
